Dispatcher / Service Coordinator

Pine Brook, NJ | Temp-to-Perm | $25/hr
Monday–Friday | 8:30 AM–5:00 PM | Fully Onsite

We are seeking a Dispatcher / Service Coordinator to coordinate field and shop service activities from the initial customer request through work order completion and invoicing. This role will serve as a key point of contact between customers, field service technicians, service management, purchasing, finance, sales, and other internal teams.

Responsibilities

• Coordinate service requests, work orders, technician schedules, and customer appointments
• Create and maintain work orders, service cases, and technician bookings
• Monitor open and aging work orders and proactively address potential delays
• Schedule preventive maintenance, emergency service, field repairs, and shop repairs
• Coordinate technician routing and follow up on incomplete or rescheduled service
• Communicate with customers regarding scheduling, service status, parts, and completion timelines
• Prepare service quotes and follow up on outstanding quotes and purchase orders
• Review technician documentation, labor, travel, and parts information for accuracy
• Prepare completed work orders for invoicing and assist with billing questions or discrepancies
• Maintain accurate service records and documentation
• Monitor service backlogs and identify opportunities to improve workflow and efficiency
• Work closely with Service Managers, Purchasing, Finance, Sales, and Field Service Engineers to ensure timely service delivery

Qualifications

• 3+ years of experience in service coordination, dispatching, scheduling, customer service, field service, order management, or a related role
• Strong organizational and multitasking abilities with excellent attention to detail
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office, particularly Excel and Outlook
• Comfortable coordinating multiple priorities and working with various internal and external stakeholders
• Basic understanding of billing, invoicing, and accounting processes
• Associate’s degree preferred; equivalent experience will be considered
• Experience with Microsoft Dynamics 365 Field Service is a plus.
