Position The incumbent will perform complex clerical work required in the maintenance of fiscal and statistical records. Tasks may include processing purchase requisitions and invoices, reconciling monthly purchasing card transactions and vendor statements, processing journal entries, preparing calculations for cost allocation, performing cost accounting functions, auditing payroll, assisting human resources, and using various software including Cost Accounting Management System, PeopleSoft, Microsoft Access Database, Oracle Cloud modules, and other related work as assigned. Responsibilities Maintain journals and ledgers of financial transactions and prepare analytical reports on revenues and expenditures; Prepare calculations for billing of services provided by the County; Maintain general, statistical, and cost records; Prepare and process information that requires the analysis of complex source documents; Compile a variety of narrative and statistical reports, locating sources of information, devising forms to secure data, and determining the proper format for finished reports; Answer questions that involve searching for and abstracting data; Coordinate statistical input for electronic data processing; Reconcile credit cards; Process accounts payable; Review facility work orders for accuracy and assign service request numbers for routinely provided services; Audit payroll timekeeping entries to ensure completeness and accuracy; Obtain payroll supporting documentation; Provide assistance with human resource tasks. Knowledge Principles of basic accounting; Supervising methods and techniques; Record keeping techniques; Statistical concepts and techniques; Computerized accounting, spreadsheet, charting, and word processing applications. Skills/Abilities Perform fiscal and statistical record keeping at the journey level; Analyze data and present logical conclusions; Develop and maintain record-keeping systems; Minimize workload through efficient use of automated and manual procedures. Qualifications Education / Experience Pattern I Three (3) years of full‑time general clerical experience involving bookkeeping, statistical or financial record keeping, payroll, or related duties; two (2) years of which must have been at a journey level. Pattern II Two (2) years of full‑time journey-level clerical experience involving bookkeeping, statistical or financial record keeping, payroll, or related duties; and One (1) year of full‑time schooling in relevant college coursework or business school training (24 semester units or 36 quarter units). Pass County-paid pre‑employment job‑related background investigation. Perform job duties in a manner assuring a safe working environment for oneself and others. Maintain confidential information according to the legal standards and/or County regulations as required.
