Position Summary

We are seeking a friendly, organized, and compassionate  Veterinary Receptionist to be the first point of contact for our clients and patients. You will play a critical role in creating a positive experience from the moment clients walk in or call. This is a fast-paced, multitasking position ideal for someone who loves animals, thrives in a team environment, and enjoys helping pet owners.

Key Responsibilities

• Greet clients and patients warmly, both in-person and over the phone
• Manage appointment scheduling (new patients, wellness exams, sick visits, surgeries, dental procedures, etc.) using Shepherd PIMS
• Handle check-in/check-out processes, including collecting payments, processing insurance claims, and explaining invoices clearly
• Answer client questions regarding services, medications, and general pet care; escalate medical questions to technicians or the veterinarian
• Process new client registrations, update patient records, and maintain accurate client/pet information
• Manage incoming/outgoing phone calls, emails, and text communications
• Coordinate with the medical team on patient flow, lab results, prescription refills, and follow-up care
• Educate clients on hospital policies, wellness plans, and preventive care options
• Handle retail sales of pet food, treats, and over-the-counter products
• Maintain a clean, organized, and welcoming reception and lobby area
• Assist with opening/closing procedures and daily cash reconciliation
• Support administrative tasks such as filing, mail, inventory of office supplies, and basic marketing efforts
• Participate in team meetings and contribute to a positive clinic culture

Qualifications & Requirements

• Previous experience as a veterinary receptionist, medical receptionist, or customer service in a fast-paced environment (veterinary experience strongly preferred)
• High school diploma or equivalent; veterinary technician/assistant experience a plus
• Excellent communication skills — both verbal and written
• Strong computer skills and comfort learning new software (Shepherd PIMS experience preferred but not required)
• Ability to multitask, prioritize, and work effectively under pressure
• Professional, positive attitude with a genuine love for animals and their people
• Reliable transportation and flexible availability (including Saturdays)
• Must pass background check and drug screening

• Team player who is willing to help in other areas of the hospital when needed
• Bilingual (English/Spanish) is a plus
