Financial Administrator (Bookkeeping & Payroll)

Maitri OBGYN | Burlington, VT
Hybrid (Approximately 4 hours onsite weekly, remainder remote)
Part-Time | 12–16 Hours per Week
Compensation: $25–$30/hour, depending on experience

We're looking for a Financial Administrator who brings the same level of care, accuracy, and dedication to the behind-the-scenes work that keeps our practice running smoothly. You'll work closely with our COO and leadership team to ensure our financial operations are organized, accurate, and efficient—allowing our providers to focus on delivering outstanding care.

While this is not a patient-facing role, your work directly impacts our ability to provide exceptional care to the women and families we serve. This position offers significant flexibility and is ideal for someone seeking meaningful part-time work with a mission-driven organization. While most responsibilities can be completed remotely, we anticipate approximately 3–4 hours onsite each week to support deposits and other financial operations.

What You'll Do Accounts Payable

• Receive, code, and route invoices to the appropriate general ledger account and approver.

• Obtain required approvals for invoices and employee expense reimbursements.

• Verify invoice accuracy and supporting documentation.

• Enter invoices into QuickBooks (or similar accounting software) and process approved payments.

• Prepare and distribute checks for approved disbursements.

• Maintain organized vendor files and supporting financial documentation.

• Reconcile vendor statements and resolve discrepancies promptly.

Cash Receipts

• Deposit cash and checks according to established procedures.

• Reconcile monthly credit card transactions.

• Record ACH deposits accurately and on schedule.

• Record deposits and cash receipts in QuickBooks while maintaining proper supporting documentation.

Payroll Administration

• Process and submit bi-weekly payroll accurately and on time.

• Maintain payroll records and supporting documentation.

• Coordinate payroll changes, employee updates, and timekeeping corrections with leadership.

• Ensure payroll activities comply with company policies and applicable payroll regulations.

Financial Reporting & Metrics

• Develop, monitor, and report on key performance indicators (KPIs).

• Analyze financial and operational metrics to support leadership decision-making.

• Identify opportunities to improve financial performance and operational efficiency.

• Prepare reports and supporting financial information for leadership and partner meetings.

Who You Are

• Bachelor's degree in Accounting, Finance, or a related field preferred.

• Minimum of 2 years of experience in bookkeeping, accounting, accounts payable, payroll administration, or financial operations.

• Experience using QuickBooks or similar accounting software strongly preferred.

• Experience supporting a healthcare, medical, or professional services organization is a plus.

• Proficient with Microsoft Excel and Microsoft Word.
