COMPENSATION
$20 per hour

SCHEDULE
Hybrid: 24 hours per week, on site 2 days per week

CONTRACT TERM
1 year with high likelihood of extension or conversion to full time employee

POSITION OVERVIEW
The Administrative Assistant provides critical day-to-day administrative and operational support in a fast-paced professional environment. This role partners closely with the Executive Administrator to support leadership priorities, employee engagement initiatives, scheduling coordination, communications, meeting logistics, and site operations. The ideal candidate is highly organized, detail-oriented, adaptable, and capable of managing multiple priorities with professionalism and discretion.

RESPONSIBILITIES
• Provide direct administrative support to the Executive Administrator
• Assist with calendar management, meeting coordination, travel arrangements, visa processing, and expense reporting
• Coordinate conference rooms, catering, visitor logistics, and meeting preparation activities
• Support employee engagement initiatives, leadership meetings, site events, and special projects
• Track action items, deadlines, and follow-up activities to ensure timely completion
• Maintain organized records, documentation, and administrative processes
• Partner cross-functionally to support execution of business and site priorities
• Handle confidential and sensitive information with professionalism and discretion
• Maintain and manage floor plans and employee cubicle assignments
• Utilize workflow systems to request purchase orders and track approvals
• Submit and coordinate work orders for facility and maintenance concerns
• Coordinate and maintain communications displayed across onsite monitors and communication systems
• Provide operational and coordination support for large-scale activities and initiatives
• Adapt to evolving business needs and support additional responsibilities as assigned

REQUIRED QUALIFICATIONS/SKILLS
• High school diploma or equivalent required; some college preferred
• Previous administrative support experience preferred
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams
• Ability to prioritize tasks and work effectively in a fast-paced environment
• Strong attention to detail and follow-through
• Ability to maintain confidentiality and handle sensitive information professionally
• Self-motivated with a collaborative and team-oriented mindset
