Development Manager

Company Description: The School of the Arts Foundation (SOAFI), a 501(c)(3) organization, has been dedicated to enhancing the artistic and academic programs at the Alexander W. Dreyfoos School of the Arts in West Palm Beach, FL since 1993. The foundation supports curriculum enhancements funded through private donations to nurture students' talents in a globally recognized public High School. Position Description: The Development Manager supports the CEO in achieving fundraising objectives and stewarding donors. The incumbent will be delegated responsibility for managing or assisting with fundraising events, overseeing donor engagement by ensuring regular contact with donors through birthday cards, distribution of invitations to special events and student performances, responding to requests about SOAFI, facilitating interface with the school for funding requests, and escorting students for donor events. The incumbent is expected to manage within designated budgets and maintain records on event expenses associated with assigned responsibilities. Analytical reports on fundraising activities and donor research will also be essential. Key Responsibilities: Development Events: Under the direction of the CEO the incumbent will manage or assist in managing events throughout the year. Activities will include creating project plans, developing budgets, organizing logistics, reviewing contracts for services, and coordinating with the marketing department to promote events. The incumbent is responsible for monitoring contracted services for contract fulfillment. Incumbents will regularly interface with the Board Development Committee on event planning and post-event evaluation. Project Management: The incumbent will coordinate all event timelines, budgets, and logistics within guidelines established by the CEO. Activities include selecting a venue, catering, entertainment, photography, decorating, and securing permits. The incumbent will also oversee event set-up and breakdown to ensure a quality event. Contract Management: Incumbent will negotiate contracts with vendors and monitor contracted service delivery to ensure contract fulfillment. Volunteer Management: Incumbents must lead volunteers for events, marketing, and development activities. Reports: The incumbent will prepare post-event reports highlighting key metrics, successes, and areas for improvement. The incumbent will also assist the Director of Community Development in preparing analytical reports for the CEO, Development Committee, and Board to evaluate which fundraising events and activities are the most valuable for achieving development goals. Representational activities: The incumbent will always be prepared to represent SOAFI in a professional, polished display of appearance, speech, and presence. The incumbent will interface directly with the members of the Board Development Committee, parents, students, and faculty, in addition to donors and prospective donors. The incumbent will be expected to attend events to assist with their execution and discuss them with donors, parents, students, board members, etc. Stewardship: Incumbent will utilize reports from the donor database to initiate and maintain contact with donors and prospective donors at specified times to foster and maintain relationships that may lead to gifts to SOAFI. Scholarships: Manage all aspects of scholarships on campus, including presenting to students, supporting award events, coordinating with the school and sponsors, providing and gathering feedback, and ensuring the fulfillment and stewardship of annual scholarships. Development: Under the guidance of the CEO, the incumbent will work to secure sponsorships and gifts. The incumbent will cultivate relationships within the SOAFI code of conduct to solicit gifts to further SOAFI's mission. Gift Agreements: The incumbent will execute preapproved gift agreement templates and coordinate with accounting on data entry and tracking. The incumbent will also assist accounting with reminders for scheduled payment due dates. Qualifications: Bachelor's degree in Events Management, Marketing, Communications, or a related field. At least five (5) years of experience in events or program management supporting nonprofit fundraising. Proven skills in budget preparation, volunteer coordination, marketing, and communications. Excellent organizational and project management skills, with keen attention to detail. Strong ability to manage multiple projects simultaneously. Exceptional communication and interpersonal skills to effectively collaborate with diverse stakeholders. A strong passion for the arts and educational enhancement. Physical Requirements: Ability to lift and move equipment or materials weighing up to 50 lbs. Stand for extended periods and move around event venues to oversee setup and execution. Flexibility to work non-traditional hours, including evenings and weekends, based on event schedules.
