Intake Specialist

CB Partners is partnering with a global law firm to add an Intake Specialist to their team. This role reports to the Director of Domestic & Global Intake and plays a key part in supporting new business processes, including reviewing intake requests, analyzing rate and engagement agreements, generating ad hoc reports, and assisting with attorney onboarding and offboarding. This is a hybrid position, requiring just two days per month in-office. Key Responsibilities Review and process new business intake forms, ensuring accuracy, completeness, and timely system entry Collect, validate, and maintain all required documentation; identify and escalate discrepancies as needed Develop a strong understanding of firm operations (billing, e-billing, conflicts, EPLI, collections, compensation, budgeting, A/P, etc.) to support compliant client and matter setups Evaluate rate and engagement agreements to ensure proper billing configuration Manage onboarding for lateral hires and offboarding for departing attorneys, including compliance with firm and client requirements Perform quality control on high-volume client/matter setups (150+ daily), ensuring alignment with billing guidelines, rate structures, splits, and other key details Review and interpret engagement letters, outside counsel guidelines, and billing requirements for accurate system setup Coordinate international matter setups and ensure adherence to cross-border billing and referral protocols Analyze and manage attorney splits, including year-end updates, reporting, and compliance with firm guidelines Monitor multiple high-volume workflows, ensuring tasks are completed within 24–48 hours Generate and deliver ad hoc reports for attorneys and internal stakeholders Maintain and update matter details, including rates, billing structures, and other key data points Provide responsive, high-quality service to attorneys and internal teams regarding intake and billing inquiries Support 3E system setup and maintenance for timekeepers, including updates to roles, rates, and other attributes What We’re Looking For Experience with 3E or similar intake/billing systems preferred Proficiency in Microsoft Outlook and Word Strong attention to detail with the ability to adapt in a fast-changing environment Proven ability to manage multiple priorities, stay organized, and meet tight deadlines Effective communication skills with the ability to work across all levels of the organization Familiarity with law firm intake processes, including engagement letters, billing arrangements, and credit allocation Collaborative mindset with the ability to partner across accounting, finance, and other departments Experience & Education Required: Minimum 2 years of relevant law firm or accounting/finance experience We are an equal opportunity employer and our company is committed to building and maintaining a culturally diverse workplace.
