Accounting Administrator

Key Responsibilities Position Summary We are seeking a detail-oriented and dependable Accounting & Administrative Coordinator to support our Management Team in accounting, human resources, payroll administration, and office operations. Key Responsibilities Accounting & Payroll Process bi-weekly payroll and maintain accurate payroll records. Track employee vacation balances, garnishments, and other payroll deductions. Monitor employee labor hours for job costing and reporting purposes. Prepare wage and payroll-related reports as required. Enter and process Accounts Payable invoices. Reconcile invoices to purchase orders and close open purchase orders as appropriate. Create Accounts Receivable invoices and verify accuracy against packing lists and customer purchase orders. Assist with accounting record maintenance and special projects as assigned. Human Resources & Compliance Support Assist with employee recordkeeping and required employment-related reporting. Support unemployment, workers' compensation, and other HR-related administrative processes. Maintain employee vacation and absence records and update company calendars following manager approval. Coordinate DOT compliance activities, including record maintenance, annual driver physicals, inspections, and regulatory reporting. Assist with employee handbook updates and policy administration. Support onboarding and other HR administrative functions. Office Administration Share front office responsibilities, including: Answering and directing telephone calls Greeting and registering visitors Managing incoming and outgoing mail Provide administrative support to management and staff as needed. Help maintain a professional and welcoming office environment. QualificationsRequired Associate degree in Accounting, Business Administration, Human Resources, or a related field. Minimum of three years of experience in accounting, payroll, human resources, or office administration. Experience working with computerized accounting and payroll systems. Strong Microsoft Office skills, particularly Excel and Word. Excellent organizational, communication, and problem-solving abilities. High level of accuracy and attention to detail. Preferred Experience with payroll processing and job-cost accounting. Familiarity with DOT compliance requirements. Experience supporting HR administration and employee recordkeeping.
