Clerical Assistant (Automotive Title Department)

ABOUT THE POSITION: We're looking for a detail-oriented and proactive Clerical Assistant to support several key departments, including Title, Document Control, Quality Control, and Insurance. This role involves a mix of administrative and clerical tasks related to vehicle titles, registrations, contracts, and other essential documentation. RESPONSIBILITIES:

• Scanning, filing, printing, and organizing large volumes of documents
• Preparing and sending outgoing mail using various services (UPS, FedEx, USPS, etc.)
• Assisting with mail pickup and distribution, including but not limited to occasional trips to the local post office, UPS store, or other local businesses.
• Maintaining and organizing the document storage and title files area
• Supporting administrative projects and general clerical tasks as needed
• Other duties, as assigned

REQUIREMENTS:

• Personal vehicle (mileage reimbursement provided), a valid driver's license, and current auto insurance for mail pick-up and drop-off.
• Strong organizational skills and the ability to manage multiple administrative projects with varying timelines, points of contact, and tracking requirements
• Comfortable working with document-heavy workflows
• Intermediate proficiency in Microsoft Office (Word, Excel, Outlook)
• Clear, concise, professional communicator
• Prior experience in an administrative or office support role is preferred

ADDITIONAL DETAILS:

• Location: onsite at 15400 Sherman Way, Van Nuys, CA 91406
• Shift: 7 a.m. to 4 p.m., Monday through Friday. Occasional overtime or weekend work may be required. Shift and hours are subject to change depending on business needs.
