The Immigration Operations Coordinator supports the day-to-day operations of the Immigration Operations Specialist team and affiliated law firm by managing inbound and outbound mail, maintaining accurate records, and ensuring the secure and timely handling of sensitive documents. This role requires strong attention to detail, reliability, and the ability to manage confidential information in a fast-paced environment.

This role is a full time permanent position and it is 100% working in the office located in Chicago, IL.

What You'll Do

• Process and distribute incoming/outgoing mail and government emails
• Scan, upload, and manage confidential immigration documents
• Maintain accurate records and mail logs
• Partner with Legal, Operations, and Affiliate teams to route case materials
• Support workflow improvements using automation and AI tools
• Coordinate with shipping carriers (FedEx/UPS) as needed

What You Bring

• 1+ year of administrative or similar experience
• Strong attention to detail and organizational skills
• Proficiency in Microsoft Office
• Ability to work onsite 5 days/week and lift up to 25 lbs
• Excellent organizational skills with the ability to efficiently multi-task and prioritize to meet strict deadlines
• Ability to empathize and perceive matters from the perspective of clients, foreign nationals, and work colleagues
• Comfortable working in a fast-paced, high-volume environment
• Strong written & verbal communication skills and excellent use of the English language
• Strong attention to detail with a genuine desire to produce prompt and accurate work
• Team focused and strong work ethic
• Ability to handle confidential information with integrity
• Must be available to be in the Chicago office, 5 days per week (Monday-Friday)

Hourly Rate: $20.00 per hour (if overtime is requested, overtime rates apply)
