Job Overview

The Senior Payroll Analyst manages the timely and accurate execution of a bi-weekly payroll cycle, including vendor management for third-party processing of taxes, wage payments, and employee withholding orders. This role ensures all data inputs to the payroll cycle produce accurate payrolls and recordkeeping. Work is primarily performed in Workday, our payroll software, in coordination with ADP, our payroll service provider. Success in this role requires a strong focus on accuracy, attention to detail, and consistent delivery against established deadlines.

This is a remote opportunity within the United States.

Responsibilities

• Process full-cycle in-house payroll for a multi-entity, multi-state organization (bi-weekly and semi-monthly), in compliance with federal, state, and local law; enter, maintain, and process information in the Workday payroll system

• Ensure proper processing of payroll deductions for taxes, benefits, retirement plans, and other withholdings

• Administer and audit all time and attendance activity

• Administer and audit all garnishments, including related vendor management

• Communicate proactively across the organization to maintain deadlines and payroll data accuracy

• Respond to employee payroll inquiries via phone and the dedicated payroll email account

• Investigate and resolve payroll processing issues and questions

• Support reconciliations, payroll balancing, and tax activities, including W-2 processing

• Facilitate internal and external audits by providing records and documentation; review month-end, quarter-end, and year-end reports to ensure accurate, on-time W-2 distribution

• Issue and reissue physical checks, replacement checks, or direct deposits as needed

• Maintain compliance with federal, state, and local payroll, wage, and hour laws and best practices

Qualifications

• High School Diploma or GED

• 4+ years of payroll processing experience in a multi-state, matrixed organization, with strong emphasis on payroll compliance and auditing

• Advanced Microsoft Excel skills, including VLOOKUP, XLOOKUP, pivot tables, and charts

• Strong analytical and problem-solving skills, with the ability to identify root causes and implement effective solutions under time pressure

• Strong verbal and written communication skills, with the ability to adapt style and content for stakeholders with varying payroll literacy

• Strong customer service orientation, with the ability to support stakeholders across career levels and backgrounds

Preferred Qualifications

• Experience working in a high-growth organization with continuous processing deadlines

• Proven relationship management skills with internal and external stakeholders

• APA Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP), or progress toward either

• Experience with Workday and/or ADP Smart Compliance for tax, wage payment, employment verification, and garnishment administration
