OPERATIONS PROJECT COORDINATOR

Job Title: Operations Project Coordinator Where: Colorado Springs, Colorado Employer: Colorado Springs World Arena, a 501(c)(3) Nonprofit Organization, dba The Broadmoor World Arena Reports to: Director of Operations, Broadmoor World Arena Job Classification: Full Time, Hourly, Non-Exempt Salary Range: $22-$24/hr. depending upon qualifications and experience, Assigned Facilities: World Arena, Pikes Peak Center for the Performing Arts, World Arena Ice Hall Summary: The Colorado Springs World Arena owns and independently operates The Broadmoor World Arena, the premier sports and entertainment venue in southern Colorado, and the adjacent World Arena Ice Hall. The Arena is a 7,500-seat multipurpose facility and the Ice Hall, with two sheets of ice, is a US Olympic and Paralympic Committee-designed Olympic Training Site for the U.S. Figure Skating and home of The Broadmoor Skating Club. CSWA also operates, under contract with El Paso County, the 2,000-seat Pikes Peak Center for the Performing Arts, home of the Colorado Springs Philharmonic Orchestra. In coordination with and at the direction of the Director of Operations and/or higher authority, this position is primarily responsible for supporting the Operations Department in project management, process and workflow management, technology initiatives, grant support, accounting, purchasing, personnel concerns, and organizational assistance for the Broadmoor World Arena, Ice Hall, and Pikes Peak Center. Job Functions: ➢ Coordinate facilities and cross-departmental projects from planning through implementation➢ Evaluate operational workflows and identify opportunities for organizational improvement➢ Develop, track and report on operational and project Key Performance Indicators➢ Support the development and implementation of organization-wide AI practices➢ Research, identify, and pursue grant funding opportunities➢ Track and administer awarded grant funds, expenditures, project requirements, and reporting obligations➢ Process accounts payable; ensure accuracy and timeliness of processing payment information➢ Reconcile expense reports and company credit card transactions➢ Coordinate support, seasonal and/or temporary staffing and contractors➢ Prepare basic financial reports and summaries for management review➢ Monitor expenditures and coordinate purchasing of supplies, materials, and equipment according to company policies➢ Maintain accurate records of purchase orders, deliveries, and vendor contracts➢ Support management with internal communications.➢ Maintain calendars for operations department and staff and operations projects➢ Ensure compliance with company policies and confidentiality standards➢ Participate in work planning for facility maintenance and operations➢ Performs general work involving sporting events, trade shows, concerts, conventions, family shows, and other events held at the facilities➢ Participate in department staff coverage for events➢ Performs labor to load and unload equipment, as well as operating equipment and general tools➢ Responds to trouble and emergency situations and supervises tasks necessary for the well-being and protection of occupants and property➢ Monitor expenditures for equipment, materials, and supplies➢ Perform related duties and responsibilities as required. Qualifications:➢ Must have excellent customer service skills with a willing and pleasant attitude.➢ Must have strong communication skills in the English language with attention to detail.➢ Minimum of Associates’ Degree preferred; Bachelor’s Degree is highly preferred.➢ Proficient computer skills including knowledge of windows-based computers, word processing, spreadsheet, presentation applications and Internet navigation.➢ Must be able to work irregular hours; including evenings, weeknights, weekends and holidays.➢ Ability to work independently, but still as a part of the overall team atmosphere helping promoters, tenants, clients, co-workers and managers as required. This position also requires constant use of interpersonal skills including: ability to foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients. Physical demands: • While performing the essential functions of the job, the employee moves about inside the office to access storage areas, cabinets and office machinery; constantly moves about the facilities and production sites to service clients and monitor work; constantly communicates via telephone, email and in-person with others to exchange accurate information. Work environment: • The essential functions of this position are usually performed indoors. The noise level in the work environments is usually moderate to loud during events and minimal during non-event times.
