Billing Specialist

Location: Oakland, CA (Hybrid - 4 Days per Week in Office) VST Engineering is a growing multidisciplinary engineering consulting firm delivering transportation, infrastructure, and public works projects throughout California. We are seeking a motivated Billing Specialist to join our Finance team in Oakland. This is an excellent opportunity for an early-career accounting professional who wants to build a long-term career in project accounting within the Architecture, Engineering, and Construction (AEC) industry. The ideal candidate is organized, detail-oriented, and eager to contribute to a collaborative team environment. Prepare and process client and subconsultant invoices for multiple engineering projects. Process Time & Materials, Fixed Fee, Milestone, and Cost-Reimbursable invoices. Submit invoices through client billing portals. Monitor invoice status and assist with collections and payment follow-up. Maintain project billing records and documentation. Assist with project setup, contract administration, and project closeout activities. Generate billing reports and support month-end accounting activities. Work closely with Project Managers and Accounting staff to ensure accurate and timely billing. Qualifications Associate's Degree (AA) or Bachelor's Degree (BA) in Accounting, Finance, Business Administration, or a related field preferred. 3+ years of billing, accounting, accounts receivable, or project accounting experience. Experience in the Architecture, Engineering, Construction (AEC/AECE) industry is highly preferred. Strong attention to detail and excellent organizational skills. Ability to manage multiple priorities in a fast-paced environment. Excellent communication and customer service skills. Preferred Experience Experience using Deltek Ajera or similar project accounting software. Experience with Airtable or other project management/database platforms. Experience with accounting software such as QuickBooks, Deltek, Sage, Microsoft Dynamics, NetSuite, or similar ERP systems.
