Responsibilities: Welcome and greet visitors to our office with a warm and friendly demeanor Efficiently handle and direct incoming phone calls in a professional manner Sort and manage incoming and outgoing mail, including scanning and organizing medical records and correspondence Ensure the office space is consistently clean, organized, and presentable Monitor and maintain office supplies inventory to ensure stock levels are adequate Monitor and maintain break room supplies and presentation Assist in coordinating travel arrangements for team members Uphold the firm's professional image by demonstrating integrity and empathy Demonstrate exceptional customer service and interpersonal skills Take ownership of maintaining a welcoming and inviting office environment Collaborate closely with team members to ensure smooth office operations Qualifications: Fluency in SPANISH is a mandatory requirement for this role; proficiency in Spanish is a non-negotiable aspect of this position. Minimum of 2 years of legal reception experience is highly preferred. Experience in customer service, hospitality, or sales is highly preferred. Experience involving phone communication is highly preferred. Strong communication abilities are crucial for creating positive initial impressions with a diverse range of individuals. Proficiency in technology, including Microsoft Office products, calendars, and video conference software is a must, with a keen eye for detail.
