Litigation Legal Assistant

Job Description

We are seeking a detail-oriented and proactive Legal Assistant with a minimum of three years of experience in Litigation to join our Chicago office. This position supports attorneys in managing a dynamic workflow and delivering exceptional administrative services to business clients. The ideal candidate will excel in a fast-paced environment, demonstrate a high level of professionalism, and possess strong technical and organizational skills.

JOB RESPONSIBILITIES:

\n

\n
• Manage complex and high-volume calendaring for attorneys and clients
\n
• Serve as a primary point of contact for clients; screen calls and maintain strong client relationships
\n
• Draft and prepare confidential correspondence, reports, and legal documents
\n
• Create and manage spreadsheets using formulas and pivot tables
\n
• Handle attorney time entry and billing processes
\n
• Maintain client files in both physical and digital formats (NetDocs)
\n
• Provide support during litigation matters
\n
• Uphold confidentiality of all firm and client matters
\n
• Assist with front desk/reception duties on an as-needed basis
\n
• Perform other administrative tasks as assigned

JOB QUALIFICATIONS:

\n

Specialized Legal Experience:

\n

\n
• Minimum 3 years of experience in Litigation
\n

\n

Technical Proficiency:

\n

\n
• Advanced Microsoft 365 skills, especially:
\n
• Excel: formulas, pivot tables
\n
• PowerPoint: creating professional presentations
\n
• Outlook & Word: managing calendars, formatting legal documents
\n
• Experience with document management systems
\n

\n

Administrative & Organizational Skills:

\n
• Ability to multi-task and prioritize in a deadline-driven environment.
\n
• Experience with billing and time entry systems
\n

\n

Communication & Client Service:

• Excellent written and verbal communication skills.
