Next Gen Administrative Coordinator

Job Summary
Objective: To carry out the administrative, logistical, and program coordination functions of MLC’s Next Gen grant-funded programs.
Supervision:Sr. Director of Next Gen Grants and Research
Hours:40 hrs/week
Job Responsibilities
Grant Program Administration
- Serve as the primary administrative support for the Next Gen team's grant-funded programs, with current focus on the Young People’s Theological Service Initiative (YPTSI), Benediction Project, and the Faith & AI Planning Grant.
- Collaborate with the Theology & Service Director and the College & Young Adult Ministry Director to carry out the administrative functions of YPTSI microgranting programs, including partner organization onboarding, ongoing communication, and program documentation.
- Develop and manage contracts with all partner organizations and contractors.
- Provide administrative support for additional grant programs as MLC's grant portfolio grows.
Partner Relations & Communication
- Manage and maintain accurate records in HubSpot CRM for partner organizations and relational contacts connected to Next Gen grant programs.
- Cultivate and sustain relationships with partner organizations, serving as a consistent and responsive point of contact on behalf of the Next Gen team.
Research Support
- Support the administrative side of grant-related research projects, working closely with the Sr. Director of Next Gen Research and Grants.
- Oversee scheduling research participants, managing event logistics, and coordinating the distribution and collection of consent forms and other research materials.
Event & Logistics Coordination
- Plan and oversee logistics for all in-person gatherings related to Next Gen grant program objectives, including design retreats, think tanks, and focus groups.
- Manage venue booking, hotel accommodations, catering, travel coordination, and on-site logistics for all in-person events.
- Develop and maintain event timelines and post-event follow-up procedures.
Qualifications
Qualifications:
- 3+ years of administrative or program coordination experience
- Exceptional attention to detail and follow-through
- Strong verbal and written communication skills
- Strong organizational and time management skills with the ability to track multiple concurrent deadlines
- Proven ability to manage event logistics from planning through execution
- Experience with HubSpot or another CRM
- Experience with Google Suite
- Experience with Asana or other project management software
- Demonstrated ability to work effectively with diverse people and communities (racially, theologically, geographically, denominationally, etc.)
