Accounting Specialist – Elk Grove Village, IL

$65,000 - $70,000 Annually + Full Benefits, PTO, 401K Match, Hybrid

We are an established construction products distribution company that supplies materials to contractors, builders, and businesses throughout the industry. We are looking for an Accounting Specialist to join our small, close-knit finance team and work directly alongside the Vice President of Finance. This is an excellent opportunity for an accounting professional who enjoys digging into details, solving discrepancies, and understanding how the numbers connect rather than simply processing transactions.

This is not a traditional high-volume AR or collections position. The accounting process requires someone who can investigate the details behind each transaction, ask thoughtful questions, and follow an issue through to resolution.

What You'll Do

Accounting & Data Entry

• Perform general accounting functions, including data entry, invoice processing, account reconciliation, and other accounting support.
• Enter and maintain accurate order information within internal MRP systems and QuickBooks.
• Maintain detailed and accurate financial records throughout the reconciliation process.
• Utilize QuickBooks, Excel, and internal systems to research and track financial information.

Research & Reconciliation

• Research transactions, invoices, orders, and payment information to identify discrepancies or missing payments.
• Review expected payments and proactively follow up when amounts do not align.
• Investigate the root cause of discrepancies and determine whether an issue originated from order entry, an internal process, or an outside business partner.
• Follow discrepancies through to resolution and document the outcome.

Communication & Problem Solving

• Communicate directly with suppliers and business partners by phone and email to clarify discrepancies, confirm payment details, and resolve outstanding questions.
• Communicate primarily through email, with regular phone communication as needed.
• Work closely with the VP of Finance and know when an issue requires escalation while independently handling routine questions and discrepancies.

Growth & Development

• Learn the company's business model, systems, and accounting processes.
• Gradually take on additional accounting responsibilities as your knowledge and capabilities grow.
• Take increasing ownership of the accounting function and become a valuable resource to the finance team.

What We're Looking For

• Previous accounting experience with hands-on QuickBooks experience required.
• Strong Excel skills and the ability to learn proprietary systems and processes.
• Highly analytical and naturally inquisitive, with an interest in figuring out why numbers do not match and finding the answer.
• Strong attention to detail and the ability to spot inconsistencies and connect information across multiple sources.
• Comfortable communicating by phone and email with suppliers, business partners, vendors, and internal teams.
• Patient and persistent when researching an issue and willing to follow a discrepancy through to resolution.
• Able to distinguish between an internal data-entry or process issue and an issue originating with an outside partner.
• Strong organizational skills and the ability to handle confidential financial information appropriately.
• Dependable, steady, and comfortable growing into a role over time.
• Someone who takes ownership of their work and can work independently without needing constant direction.
