Project Management Specialist

Role Description

Responsible for project operations and programs support including:

• Standardization
• Quality management
• Document management
• Methods creation and maintenance
• Process improvement
• Tools for the project management function

Impacts quality of own work and the work of others on the team. Executes standard operational/technical tasks typically subject to instructions and work routines.

Qualifications

• High school diploma or GED for roles based in the United States
• Experience in Project Management team support and/or project or material planning
• Experience with SAP project setup and maintenance
• Demonstrated ability to create, structure, and maintain projects in SAP, including WBS elements and Sales Orders (SO) for hardware and services
• Experience coordinating with teams such as Tax, Billing, Supply Chain, Project Managers, and Service Managers

Requirements

• Support for order booking, revenue recognition, and cash management
• Focused on internal customer (PM or SM)
• Principal support role of the Project and Services team
• Responsible for all aspects of creating, structuring, and maintaining projects in SAP
• R3 meeting support to enable cross-functional input to project structure
• Set children WBS and SO for HW, SW, and SVS
• Assist billing team with invoicing
• Create cancel/rebill workflows if needed
• Request invoices and credit notes, support PM/SM and disputes resolution
• Understand the IBS process for billing internal orders
• Regional country specific tax invoicing support - point of contact with Tax Team
• Regional statutory audit support for internal and external audits – SOX, ISO, KPMG, etc.
• Support development of financial instruments on a project-by-project basis
• PO requisition for material, external suppliers, and manage good receipts when necessary
• Manage exportation invoice process aligned with Supply Chain
• Understand revenue recognition lag rules for recognizing revenue each quarter
• Run project through TECO checklist to ensure there are no outstanding issues
• Drive resolution with SM/PMs to correct project defects
• Support PMs on project metrics to decrease unbilled and past due receivables
• PO requisition for services/materials via Ariba Customer Database Creation
• Assist in getting customers set up in SAP
