Retirement Services Operations Analyst

Job Type: Full-time Location: Rochester, NY. This is a 100% in‑office role. Remote or hybrid work is not available. Candidates must work on‑site five days per week during designated work hours. Position Overview This role serves within the Retirement Services operations team, responsible for managing complex recordkeeping tasks and acting as a liaison with external partners such as trustees, custodians, and recordkeeping vendors. The analyst ensures operational accuracy and compliance across all plan activities. Primary Responsibilities Leverages technology—including AI tools, Salesforce, and Power BI—to support retirement operations and enhance overall efficiency. Reconciles data and builds reports using system tools and extracts for Operations leadership. Supports project teams with data requests and updates to existing reports and dashboards. Analyzes operational data to identify trends, gaps, and opportunities for improvement. Serves as a subject‑matter expert for complex retirement plan operation processes. Manages complex retirement plan recordkeeping operations including transaction processing, reconciliation, and reporting. Acts as a liaison with external partners including recordkeepers, custodians, and trustees. Ensures operational compliance with ERISA, IRS, and DOL regulations. Supports escalations from internal teams and external partners. Assists in the development and refinement of operational procedures and documentation. Education and Experience Bachelor’s degree required. Minimum of 3 years of experience in a data analyst or financial analyst role. Preferred, but not required: strong understanding of defined contribution plan structures, record‑keeping, and ERISA, IRS regulations, and retirement plan operational compliance requirements. Experience working with external financial institutions and vendors. Proficiency in Microsoft Office Suite and operational reporting tools. Strong interpersonal, verbal, and written communication skills with an emphasis on translating complex issues into clear updates for internal and external stakeholders. Advanced critical thinking skills to evaluate unusual or complex issues and determine the best solutions. Ability to manage multiple escalations concurrently, prioritizing tasks based on risk, impact, and deadlines. Ability to work independently and collaborate effectively with internal teams when needed. Physical Requirements Ability to sit for extended periods: requires sitting at a desk or workstation for 7–8 hours a day. Use of computer and phone systems: must operate a computer, use phone systems, and type; includes using multiple software programs and inquiries simultaneously. Compensation The pay range for this position is $80,000 – $104,000 per year; however, base pay offered may vary depending on job‑related knowledge, skills, and experience.
