Geller Lighting Supply Co. Inc. is seeking a versatile, detail-oriented Administrative Support Associate to join our office operations team. This unique swing role is designed for someone who enjoys variety, thrives in a fast-paced environment, and is eager to learn both Accounts Payable and Accounts Receivable functions while providing administrative support across departments.
This is a temporary-to-permanent opportunity , offering the chance to transition into a long-term role based on performance, attendance, and business needs. Were looking for someone who is excited to grow with the company and become a valued member of our team.
This position plays a key role in keeping our financial and administrative operations running smoothly by stepping in where support is needed most. The ideal candidate is highly organized, adaptable, customer-focused, and comfortable managing multiple priorities with accuracy and professionalism.
What Youll Do
- Support both Accounts Payable and Accounts Receivable operations
- Process invoices accurately and efficiently using company accounting systems
- Review, code, verify, and match invoices to purchase orders, pricing, and payment terms
- Assist with accounts receivable activities, including payment tracking and collection support
- Reconcile vendor statements and research discrepancies or aged invoices
- Communicate with vendors, customers, and internal teams to resolve issues promptly
- Maintain AP and AR inboxes and follow up on outstanding items
- Answer and direct incoming phone calls professionally
- Provide day-to-day administrative and clerical support to the office team
- Organize and maintain files, records, and office supplies
- Operate standard office equipment including copiers and scanners
- Assist with special projects and additional duties as assigned
- Adapt to changing priorities and provide coverage across functions when needed
What Were Looking For
- High school diploma or equivalent required
- 2+ years of experience in Accounts Payable, Accounts Receivable, administrative support, or a related role
- Strong attention to detail and ability to maintain accuracy under deadlines
- Excellent organizational and multitasking skills
- Ability to work independently while contributing to a collaborative team
- Strong written and verbal communication skills
- Customer-service mindset with strong problem-solving abilities
- Comfortable working in a fast-paced, high-volume environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with ERP systems or ERP One+ is a plus, but not required
- Positive attitude and willingness to learn multiple functions within the organization
