Production Manager/Facilities Manager

Rubicon Theatre Company is a nationally respected award-winning organization with a 25-year history of producing innovative live professional theatre in Ventura’s Downtown Cultural District. The company produces a mainstage season of dramas, comedies and musicals, a Ventura LIVE concert and variety series, a robust new play development program, and summer education camps for the entertainment and enrichment of local residents and visitors to California’s Central Coast. Rubicon has served more than 500,000 patrons in an intimate 185-seat former church, employs 11 dedicated and impassioned full-time staff members, and has an annual budget of $2.5 million. The organization is governed by an active and engaged Board of Directors and supported by a Board of Advisors and volunteer auxiliary, Rubicon is currently preparing to embark on a capital and comprehensive campaign particularly focused on accessibility, parking and infrastructure needs. Rubicon Theatre Company – Ventura, CA POSITION SUMMARY Rubicon Theatre Company, an established professional regional theatre producing award-winning work in a 180-seat venue, is seeking a Production Manager / Company Manager to oversee all technical, production, and artist support operations. This full-time, exempt role reports directly to the Associate Artistic Director and Producing Artistic Director and is essential to the successful planning and execution of all productions, special events, and tours. The ideal candidate is a collaborative, detail-oriented, and proactive individual with strong technical and organizational skills, a calm and supportive demeanor under pressure, and a passion for storytelling. This is a hands-on position that touches every aspect of production. START DATE: August 5. KEY RESPONSIBILITIES Production Management Lead all technical and production operations for mainstage shows, tours, and events. Receive and manage production budgets from the Associate Artistic Director; submit purchases and rentals for prior approval. Create and maintain production calendars, tech schedules, and contact sheets. Hire and contract running crews in collaboration with the Technical Director; ensure proper paperwork is submitted to Finance and entered into Homebase. Coordinate and run production meetings; generate agendas and distribute production notes to all departments. Collaborate with designers and Technical Director to evaluate plans, secure bids, monitor timelines, and maintain alignment with budget and personnel capacity. Attend first rehearsals; distribute welcome packets, collect contracts and deal memos, and ensure completion of onboarding paperwork. Attend all tech rehearsals, final dress, and previews; facilitate load-in, load-out, and daily production needs. Set up tech tables, god mic, cue lights, running lights, headsets, and backstage access. Review and respond to rehearsal, performance, and house reports; follow up on action items. Track and manage production expenses and deliverables to ensure timely completion. Maintain and enforce safety protocols in line with local, state, and union (AEA) standards. Maintain inventory of tools, equipment, and technical supplies; track condition and coordinate repairs or replacements. Assist Technical Director in organizing offsite storage and rehearsal spaces. Stay informed about innovations and best practices in production management, safety, and technology. Assist with company management responsibilities (artist hospitality, assistance booking artist housing and travel) Facility & Operations Support Coordinate with Technical Director to schedule and support facility maintenance. Ensure rehearsal spaces and meeting rooms are set up with required supplies and equipment. Track consumables and reorder stock items for production and housing as needed. Submit expense reports and check requests for production and operational spending. Co-Productions Collaborate with Associate Artistic Director on logistics and coordination for co-produced events or performances. Other duties as assigned. SCHEDULE & BENEFITS Full-time, exempt position; evening and weekend availability required. Hours will vary based on production schedules and may exceed 40 hours/week during production periods Health insurance is available after 90 days of employment (with employee contribution). One week of paid vacation accrues after one year of employment (accrual begins retroactively from start date after 90 days). After two years, paid vacation increases to two weeks. REQUIRED QUALIFICATIONS 2–3 years minimum experience in production management, technical direction, or professional stage management. Strong working knowledge of backstage theatre practices including lighting, sound, scenery, and stage operations. Experience hiring and supervising crew; excellent team leadership and people management skills. Familiarity with AEA (Actors’ Equity Association) rules, contracts, and backstage protocols. Familiarity with technical drawings and scenic/lighting plans. Hands-on production experience in fast-paced, environments. Proficiency with Microsoft Office, Microsoft Excel, Microsoft Teams, Google Suite, and scheduling tools. Exceptional organizational and communication skills. Ability to manage both physical and administrative responsibilities with attention to detail. Comfortable lifting up to 50 lbs., climbing ladders, and working in varied environments. Valid driver’s license and reliable transportation. PREFERRED QUALIFICATIONS Experience with artist housing logistics and supporting out-of-town talent. Knowledge of theatrical safety standards and equipment maintenance. Experience managing production schedules in a repertory or multi-show season. Familiarity with software such as Vectorworks or QLab a plus. CPR/First Aid certification is a bonus. COMPENSATION This is a full-time, exempt position. Salary range is $68,640 – $75,000 annually , commensurate with experience. Benefits include health insurance, paid vacation and sick time, and access to professional development opportunities.
