Claims and Legal Operations Coordinator

Position Overview The Claims and Legal Operations Coordinator provides administrative and operational support across claims, litigation, and insurance workflows. The role focuses on tracking, documentation, coordination, and follow‑through to ensure matters are organized and current. The coordinator supports senior legal staff and reports to the Vice President, Associate General Counsel, with supervision by the Director of Claims and Legal Operations. Key Responsibilities Claims & Matter Administration – Opening and setting up new claims and legal matters; preparing and submitting Loss Advice Forms; maintaining claims logs and trackers; organizing correspondence and files; supporting matter close‑outs and file retention. Litigation & Discovery – Tracking litigation deadlines and key dates; maintaining discovery and document production trackers; assisting with document collection and production; supporting litigation hold memoranda. Licensing & Entity Support – Tracking professional and business license renewals; assisting with entity filings and corporate records organization; organizing regulatory compliance documentation. Legal Operations & Administrative Support – Coordinating inbound legal mail and process intake; assisting with legal invoice intake; updating matter records and dashboards; maintaining electronic files; supporting reporting and data requests. Other duties as assigned. Qualifications Associate’s degree. Strong organizational, tracking, and documentation skills. Ability to manage confidential and sensitive information. Ability to work collaboratively as part of a team. Proficiency with Microsoft Office and document management tools. Preferred Bachelor’s degree. 2–5 years of experience in legal administration, claims support, compliance coordination, or equivalent operational/administrative experience in a regulated environment.
