Position Summary

YoungLA is seeking a highly organized and detail-oriented Licensing Approvals Coordinator to manage the end-to-end approvals process for licensed products and brand partnerships. This role serves as the primary liaison between YoungLA's internal teams and external licensing partners, ensuring all creative assets, product designs, packaging, and marketing materials meet licensing requirements and receive timely approval.

The ideal candidate has a strong appreciation for both creative processes and operational execution. Success in this role requires exceptional organization, proactive communication, and the ability to keep cross-functional teams aligned throughout the product development lifecycle.

Key Responsibilities

Licensing & Approvals

• Serve as the primary point of contact for all licensing partner approvals and communications.
• Submit product designs, artwork, packaging, marketing assets, and related materials for review and approval.
• Track approval status across all projects and proactively follow up to ensure deadlines are met.
• Communicate feedback, revisions, and approval decisions to internal stakeholders.
• Ensure all licensed products comply with partner brand guidelines, usage requirements, and contractual obligations.
• Maintain approval calendars and critical milestone timelines.

Project Coordination

• Coordinate closely with Design, Product Development, Marketing teams throughout the approval process.
• Manage multiple licensing projects simultaneously while maintaining accuracy and organization.
• Proactively build and maintain timelines and communicate cross functionally to ensure deadlines are met.
• Identify approval bottlenecks, timeline risks, and potential delays, escalating issues when necessary.
• Facilitate communication between internal teams and external licensing contacts to ensure alignment.

Documentation & Compliance

• Maintain organized records of all approved, pending, and archived licensing submissions.
• Develop and maintain approval trackers, status reports, and documentation systems.
• Ensure final approved files are properly stored and accessible to relevant teams.
• Verify that all revisions and final production assets reflect approved artwork and feedback.

Process Improvement

• Help establish and refine approval workflows, SOPs, and internal best practices.
• Identify opportunities to improve efficiency, communication, and visibility within the licensing process.
• Contribute to building scalable systems that support future licensing partnerships and brand collaborations.

Qualifications

Required

• 2+ years of experience in project coordination, licensing, creative operations, product development, production, or related fields.
• Exceptional organizational skills with strong attention to detail.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office, Google Workspace, and project management tools.
• Ability to work cross-functionally with both creative and operational teams.

Preferred

• Experience working with licensed consumer products, apparel, accessories, entertainment brands, or intellectual property approvals.
• Understanding of product development and production timelines.
• Experience coordinating creative approvals or brand compliance processes.
• Familiarity with project management platforms such as Asana, Monday.com, Miro, Acrobat or similar tools.
