Executive Assistant

The Executive Assistant will provide direct assistance to the Lead Pastors of Lakeside Church. The EA will operate as the gatekeeper for the Lead Pastors and provide efficient and accurate administrative and personal support. Essential Administrative Responsibilities Maintain the LP’s calendar, including scheduling meetings, appointments, speaking engagements and travel arrangements. Exercise discretion in committing time and evaluating needs. Draft, review and send communications on behalf of the Lead Pastor. Organize and prepare for meetings, including gathering documents and attending to logistics of meetings. Serve as liaison between LP, staff and public; this includes but is not limited to screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution. Prioritize emails and respond when necessary. Coordinate travel arrangements. Determine priority of matters of attention for the LP; redirect matters to staff to handle, or handle matters personally, as appropriate. Keep LP advised of time-sensitive and priority issues, ensuring appropriate follow up. Maintain confidential and sensitive information. Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries. Occasionally provide personal support including but not limited to pickups, deliveries, etc. Serve as Liaison to Overseers, Trustees, and Elders; Schedule and organize quarterly Trustee Meetings. Oversee Armor Bearer and Executive Hospitality Teams. Own LP office upkeep and restock refreshments, toiletries, and other needed items. Anticipate needs and shadowing LPs on Sunday mornings and all church events. Coordinate and maintain all arrangements for Guest Speakers and keep up with correspondence regarding their visit. Serve as a liaison for the Legacy Team. Other additional and/or alternative duties as assigned from time to time. Experience and Skills Required Bachelor’s degree preferred Three to five years’ prior experience in supporting a senior executive, pastor, or team Excellent written and verbal communication skills Time-management skills Ability to pay close attention to detail Organization skills Ability to multi-task Basic understand of frequently used computer software programs such as Microsoft Office Excellent interpersonal skills Required Characteristics Love God & People Positive/Can do attitude Heart of a servant Fun/enjoyable Loyal Share the vision and carry the culture of Lakeside to “Make Disciples, New Ones, Better Ones” with integrity and passion.
