Position Description:

Manages personnel and budgetary matters for a department or college. Exercises discretion and independent judgment to oversee the activities of staff and the financial processes to ensure fiscal responsibility of department/college. Ensures staff and faculty have the resources to complete their work. Usually serves as a hiring manager and employee service coordinator.

About the Department and/or College:

Founded in 1925 as one of the university's four original colleges, the College of Arts & Sciences is comprised of 15 departments and one program, offering a wide variety of courses and programs in the humanities, social and behavioral sciences, mathematics, physical sciences, and natural sciences. The College has approximately 10,000 students enrolled representing more than a quarter of the overall Texas Tech University student population while maintaining a 22:1 student to faculty ratio

The Department of Geosciences offers BS and BA degrees in Geosciences, and, Geography and the Environment, MS degrees in Geosciences, Geography and the Environment and Atmospheric Sciences, and a PhD; we also offer certificates in GIST. Our ~35 tenure-track faculty and instructors serve ~100 graduate students and ~150 undergraduate majors. Our research profile transcends the fields of Earth and Atmospheric Sciences, with a growing emphasis on societal impact of Earth-systems.

Major/Essential Functions:

Financial Administration:

• Oversee departmental finances, including annual budget preparation, monthly account reconciliation, and expense management.

• Manage P-card and travel card reconciliations, purchase orders, budget revisions, and other financial reporting functions (Chrome River, TechBuy, etc.).

Travel and Expense Management:

• Prepare travel pre-approvals and expense reports for faculty, staff, and students.

• Supervise arranging travel accommodation and reservations.

Position Management:

• Coordinate all job searches, particularly faculty searches in BrassRing and Kenexa systems from requisition to ePAF preparation and submission.

• Will be responsible for record keeping and documentation.

Event Planning and Coordination:

• Assist the department chair with event logistics, from planning to execution, to enhance community and departmental engagement.

Staff Supervision:

• Provide leadership to administrative support staff, including an Assistant, ensuring effective operations and productivity.

Knowledge, Skills, and Abilities:

Assists the chair, faculty, staff and students with budget and financial needs as well as purchase orders, travel,

budget prep and other Administrative functions.

Required Qualifications:

Bachelor's degree and four years of experience developing or managing programs or projects. Additional job related education may be substituted for the required experience on a year-for-year basis.

Preferred Qualifications:

• Bachelor's degree in business administration, Finance, or a related field (master's preferred).

• Minimum of 5 years of experience in administrative or financial management, preferably in a higher education setting.

• Proficiency in financial management software, travel systems, and office productivity tools.

• Strong leadership and supervisory skills.

• Excellent organizational, communication, and problem-solving abilities.

• Knowledge of TechBuy, Emburse, COGNOS and other TTU systems
