Position Summary : The Logistics/Shipping Office Clerk performs a wide variety of duties to receive, interpret, analyze, coordinate, enter, manage, and follow-up customer and distributor sales orders through production and shipping. Responsible for providing product and sales information, order status, availability, pricing, and delivery to customers and distributors. This role is also responsible for maintaining appropriate sales records/files and delivering exceptional customer experience during every customer interaction.

Essential Job Functions:

A. Shipping

1. Perform work outlined in daily shipping schedule.

2. Communicate with the Supervisor and Operations to make sure product is ready and available to ship.

3. Follow the correct procedures to ship product when customer arranges for shipment or dictates carrier used.

4. Work closely with contracted LTL carrier(s) to follow their procedures.

5. Call specified and customer specified carriers when product is ready to ship; follow up with additional calls if carriers do not show up.

6. Create with accuracy all Bills of Lading.

7. Using Infor LN, enter ship dates, tracking information, carrier, and freight cost to be billed for each UPS and Fed Ex order, and ship confirm order.

8. Take pictures of UPS and Fed Ex outgoing shipments and enter details as required by auditor.

9. Scan all shipments, including freight shipments, to Laserfiche each morning.

10. Run end-of-day program.

11. Notify IT Manager and Supervisor if any troubles are encountered with carriers, run programs and reports, or use shipping software.

12. Notify Sales when carriers do not show up or if shipments are otherwise late

C . Order Shipment Processing

·         Review completed production orders to ensure shipment are scheduled and processed complete with information needed to ship the order accurately for the customer. Resolve any problems with the shipment of orders to ensure order is processed within established guidelines and freight terms requirements.  Work with onsite Shipping Lead and Shipping Clerks to process shipments in a timely manner.

·         Answer customer service inquiries regarding shipping pricing, load availability, and shipping status.

·         Be the logistics contact for inquiries that correspond with order entry.  Process and distribute the distributors’ open order report weekly. Inform distributors of delays in product shipment or shipping problems as informed by the corresponding departments. 

·         With the Purchasing team, provide planned ship dates to distributors for non-stock items. Advise distributors of delays or changes in shipping dates as required. Expedite, where required, to meet customer expectations.

·         Coordinate dispute resolution from Logistics Network including, but not limited to, order accuracy, price, freight, collections, and tax.

  C. Sales/Logistics Support

·         Answer any shipping or logistics questions that arise within sales, customer service, or other departments within the Company.  Assist other departments with customer facing issues.

·         Assists with complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation.

·         Assist Manager with maintaining production lead times, product pricing discrepancies, follow-up correspondence with distributor, and internal department inquiries, etc.

·         Work with Sales, Operations, Engineering, and other departments about date management, special requests, freight, and other customer needs.

·         Participate in various meetings including, but not limited to, Huddle Meetings, Operational Review Meetings, etc.

·         Assist with continuous improvement projects including lean and kaizen events to improve the department.

Education and Experience:

· High School Diploma or equivalent.

· 6-12 months of related experience and/or training to become familiar with procedures and practices; or equivalent combination of education and experience.

· 6-12 months of experience in shipping & receiving duties.

Computer Skills

· Ability to operate a personal computer/computer data entry terminal and the ability to learn the ERP system.

· Intermediate skill level with Microsoft Office Suite (i.e., Word, Excel, Outlook, PowerPoint) and other computer-based applications preferred.

Experience using manufacturing ERP software, Infor LN, preferred
