Position Overview
TheFront Office Coordinatorserves as the welcoming face of GREEN Charter Middle School, ensuring a professional, efficient,tidy,and friendlyfront officeenvironment. This role requires strong communication, organizational, and multitasking skills, along with a commitment to excellent customer service. The Coordinator supports day-to-day operations, serves as a liaison between parents, staff, and visitors, and assists with student records and administrative processes.
Key Responsibilities
Front OfficeOperations
- Open the schoolofficedaily and prepare for daily operations
- Greet and assist visitors; issue temporary visitor badges
- Answer incoming school phone calls and respond to requests for information
- Check and respond to school voicemail messages within48 hours
- Manage the schools main email account and respond to inquiries within48 hours
- AssistOfficeManager withAccepting
and distributingpackage deliveries
AssistOfficeManager withofficesupply inventory and ordering- Provide general clerical support, data entry, and information retrieval as needed
- Serve as a liaison between parents, staff, and administration
- Support theOfficeManager, Administration, and Health Room as needed, including making calls to families
Attendance & Student Records
- Manage theStudent Sign In/Outprocess daily
- Enter attendance notes intoPowerSchool
- Run and reviewTruancy Reports (SC 41)daily and send out required letters
- Notify the truancy contact when aTruancy Intervention Planmeeting is required
- Enter truancy incidents intoPowerSchoolas they appear on the SC 41 report
Enrollment & Registration Support
AssistOfficeManager withReview and managingWaitlist Pending Applicationsdaily
AssistOfficeManager with ApprovingPending Registrationsdaily in PowerSchool- Assist theOfficeManager with registration and enrollment processes
- Create student folders, file forms and documents, and deliver them to theOfficeManager for setup
Qualifications
- High school diploma or equivalent required; Associates degree preferred
- Prior experience in an administrative or schoolofficesetting preferred
- Strong communication and customer service skills
- Proficiency with MicrosoftOffice, Google Workspace, and student information systems (PowerSchool experience a plus)
- Ability to multitask and manage priorities in a fast-paced environment
- Detail-oriented with strong organizational and data entry skills
- Professional demeanor and ability to maintain confidentiality
