Position Overview

TheFront Office Coordinatorserves as the welcoming face of GREEN Charter Middle School, ensuring a professional, efficient,tidy,and friendlyfront officeenvironment. This role requires strong communication, organizational, and multitasking skills, along with a commitment to excellent customer service. The Coordinator supports day-to-day operations, serves as a liaison between parents, staff, and visitors, and assists with student records and administrative processes.

Key Responsibilities

Front OfficeOperations

  • Open the schoolofficedaily and prepare for daily operations
  • Greet and assist visitors; issue temporary visitor badges
  • Answer incoming school phone calls and respond to requests for information
  • Check and respond to school voicemail messages within48 hours
  • Manage the schools main email account and respond to inquiries within48 hours
  • AssistOfficeManager withAccepting
    and distributingpackage deliveries

  • AssistOfficeManager withofficesupply inventory and ordering
  • Provide general clerical support, data entry, and information retrieval as needed
  • Serve as a liaison between parents, staff, and administration
  • Support theOfficeManager, Administration, and Health Room as needed, including making calls to families

Attendance & Student Records

  • Manage theStudent Sign In/Outprocess daily
  • Enter attendance notes intoPowerSchool
  • Run and reviewTruancy Reports (SC 41)daily and send out required letters
  • Notify the truancy contact when aTruancy Intervention Planmeeting is required
  • Enter truancy incidents intoPowerSchoolas they appear on the SC 41 report

Enrollment & Registration Support


  • AssistOfficeManager withReview and managingWaitlist Pending Applicationsdaily

  • AssistOfficeManager with ApprovingPending Registrationsdaily in PowerSchool
  • Assist theOfficeManager with registration and enrollment processes
  • Create student folders, file forms and documents, and deliver them to theOfficeManager for setup

Qualifications

  • High school diploma or equivalent required; Associates degree preferred
  • Prior experience in an administrative or schoolofficesetting preferred
  • Strong communication and customer service skills
  • Proficiency with MicrosoftOffice, Google Workspace, and student information systems (PowerSchool experience a plus)
  • Ability to multitask and manage priorities in a fast-paced environment
  • Detail-oriented with strong organizational and data entry skills
  • Professional demeanor and ability to maintain confidentiality
