Payroll Specialist

The Payroll Specialist is responsible for processing accurate and timely payroll in a high-volume, multi-state environment supporting multiple operating companies within the HVAC, Electrical, and Plumbing industry. This role manages payroll activities across 4 to 5 FEINs, ensuring compliance with payroll tax regulations and company policies. The ideal candidate will have 5 to 6 years of payroll experience, expertise with ADP Workforce Now, advanced Excel skills, and a strong commitment to accuracy and customer service. Key Responsibilities Process weekly and bi-weekly payroll in a high-volume environment, ensuring accuracy and timely completion. Utilize ADP Workforce Now to manage payroll processing, on a weekly and bi-weekly schedule. Review and validate payroll data, including timekeeping records, overtime, commissions, bonuses, incentive pay, piece-rate, and reimbursements. Audit payroll reports and identify discrepancies prior to payroll transmission. Daily processing of manual checks for payroll adjustments and terminations. Ensure compliance with federal, state, and local payroll laws and company policies. Administer wage garnishment process through full-service ADP Garnishment Service. Research and resolve payroll-related inquiries from employees, managers, Human Resources, and Finance. Prepare payroll-related reports and perform data analysis using Excel. Assist with payroll audits, process improvements, and system enhancements. Assist with payroll, 401k and workers compensation audits. Report daily activities and issues to the department supervisor. Maintain the confidentiality and integrity of employee payroll information. Attend weekly department meetings for training and to discuss current issues, positive feedback, and areas of improvement Qualifications High School Diploma or equivalent required; associate or bachelor’s degree in accounting, Finance, Business Administration, or related field preferred. 5 to 6 years of payroll processing experience in a high-volume environment. Experience processing payroll for multiple companies/entities with 4 to 5 FEINs in a multi-state environment. Hands-on experience with ADP Workforce Now, payroll processing and reporting. Strong knowledge of payroll tax regulations, wage and hour laws, garnishment administration, and federal, state, and local compliance requirements. Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) Experience managing payroll audits, balancing payroll registers, and reconciling payroll-related accounts. Strong analytical, organizational, and problem-solving skills. Ability to prioritize multiple tasks and meet strict payroll deadlines. Confidentiality in handling sensitive financial information. Excellent verbal and written communication skills. Certified Payroll Professional (CPP) certification preferred. Competitive salary with performance-based incentives.
