Job Description: Practice Coordinator

Job Summary

We are seeking an experienced Practice Coordinator to support daily physician practice operations and manage high-volume surgical scheduling. The ideal candidate will have experience coordinating surgical procedures, verifying insurance, obtaining authorizations, managing workers’ compensation cases, and providing excellent patient service.

Required Qualifications

• High school diploma or GED.
• Minimum 3 years of experience working in a large medical group practice.
• Experience with high-volume surgery scheduling.
• Knowledge of HMO, PPO, and POS insurance plans.
• Experience with workers’ compensation procedures, authorizations, and protocols.
• Must meet the facility’s mandatory flu-vaccine requirement. No declinations or exemptions are accepted.

Preferred Qualifications

• Bachelor’s degree strongly preferred.
• Experience with Epic.

Key Responsibilities

• Coordinate surgical scheduling, including pre-operative and post-operative appointments, surgical assistants, health clearances, and required pre-operative studies.
• Verify insurance coverage and obtain necessary surgical authorizations.
• Manage physician referral work queues and complete related tasks in Epic.
• Schedule patient appointments, respond to inquiries, triage calls, and address patient concerns.
• Coordinate with physicians, medical assistants, and other departments to resolve patient and practice-related issues.
• Work with workers’ compensation adjusters and nurse case managers to submit authorization requests and follow up on documentation and approvals.
• Manage physician correspondence, forms, calendars, expense reports, and other administrative tasks.
• Maintain physician credentialing records, updated CVs, medical staff privileges, California licenses, and DEA information.
• Coordinate with billing and Health Information Services (HIS) departments on chart audits, surgical reports, clinic charges, and patient financial arrangements.
• Communicate surgery-related information and provide coordination and support to patients before and after procedures.
• Assist with workflow monitoring, process improvements, work assignments, and coordination with other departments.
• Coordinate physician mentoring activities, outside services, professional engagements, and care logistics for VIPs and patients with special needs.
