Position Overview
This role offers a warm and welcoming first impression to patients and guests, ensuring a smooth and efficient patient experience. You will collaborate closely with clinical teams and business offices to optimize patient flow, minimize wait times, and enhance overall satisfaction. Front office duties rotate periodically to maintain high levels of patient and employee contentment.
Key Responsibilities
- Maintain a safe, clean, and compliant work environment, adhering to safety and infection control standards.
- Rotate through various front office assignments as scheduled by management, including coordinating peer discussions across assignments.
- Handle phone calls and voicemails promptly and manage incoming and outgoing faxes efficiently.
- Complete recall lists and ensure patient confidentiality is strictly maintained in all communications and documentation.
- Display and distribute HIPAA Notice of Privacy Practices to new patients and every three years thereafter.
- Ensure compliance with medical practice regulations such as HIPAA and OSHA.
- Assist patients with form completion when needed.
- Coordinate new patient appointments, provide necessary visit information, and ensure complete records are obtained prior to scheduling.
- Update patient demographic information in the Practice Management system and register new patients accurately.
- Verify eligibility, collect and scan patient and insurance ID cards, and obtain necessary signatures on financial, HIPAA, and arbitration forms.
- Collect co-pays, coinsurance, deductibles, or balances due.
- Enter required MACRA measurements into the EHR at patient arrival and scan front office documents into the system.
- Prepare patient records and packets for infusion visits, verify eligibility, and create financial identification numbers.
- Coordinate follow-up appointments and ensure prior authorizations and orders are current and distributed appropriately.
- Process medical records requests, manage transcribed documents, and ensure proper physician signatures.
- Perform additional duties as assigned.
Qualifications
- Minimum of one year healthcare experience with front desk responsibilities is required.
- Experience with insurance types such as HMO and PPO is preferred.
- Strong understanding of insurance verification for new and existing patients.
- Excellent customer service skills with demonstrated leadership, teamwork, and cooperation abilities.
- High ethical standards and professional integrity.
- Effective communication skills, both oral and written, with persuasive abilities.
- Bilingual skills are a plus.
Education
- High school diploma or GED required.
Certification
- Current BLS certification from the American Heart Association (healthcare provider) is preferred.
