Design Hire is seeking a detail-oriented Project Administrator to support commercial construction teams with project documentation, administrative coordination, and day-to-day operations. This position plays an important role in keeping project information organized, supporting financial processes, and ensuring communication flows efficiently between office personnel, field teams, and external partners.

Responsibilities

• Organize and maintain construction project records, correspondence, drawings, meeting documentation, and other administrative materials.
  
• Assist with financial and contract administration, including purchase orders, subcontract agreements, invoice processing, billing documentation, and change tracking.
  
• Coordinate communication and documentation between project teams, vendors, subcontractors, and other construction stakeholders.
  
• Monitor administrative deadlines, maintain project tracking systems, and support project setup, reporting, and closeout activities.
  
• Prepare reports, update construction management platforms, and assist Project Managers with ongoing administrative and operational needs.
  

Qualifications

• Experience in construction administration, project support, or a similar administrative role within the construction industry preferred.
  
• Familiarity with Procore or comparable construction project management software preferred.
  
• Proficiency with Microsoft Excel, Word, and general document management systems.
  
• Experience with Sage Timberline, Primavera P6, or other construction accounting and scheduling tools is a plus.
  
• Understanding of construction-related documentation, contracts, purchase orders, and project financial processes preferred.
  
• Previous exposure to educational, municipal, institutional, or public works construction projects is a plus.
  
• Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
  
• Effective communication skills and ability to work independently while supporting multiple team members.
