Admin & Operations Assistant

Part-Time (15–20 Hours Per Week; Up to 40 Hours During Event Weeks and Peak) Organizational Activities Position Overview TAG seeks a part-time Administrative & Operations Assistant to support daily office functions, scheduling, data entry, financial administration, board and committee logistics, event coordination, and special projects. This role ensures operational excellence and provides essential support to the Executive Director and the Engagement, Events & Operations Manager. The ideal candidate is highly organized, reliable, detail-oriented, and takes pride in ensuring tasks are completed accurately and on time. This position serves as a key operational support role, helping maintain smooth day-to-day operations while ensuring exceptional service to TAG members, Board leadership, committee members, sponsors, and stakeholders. Key Responsibilities Administrative Support Manage inbox monitoring, digital filing systems, and templates. Maintain shared calendars, scheduling, and meeting coordination. Support preparation of meeting agendas and maintain meeting records. Coordinate Board and Committee meeting logistics, including scheduling, meeting materials, food and beverage orders, room setup, and attendance tracking. Ensure timely follow‑up on action items resulting from Board and Committee meetings. Data & CRM Support Enter and update membership records. Support invoicing workflows and renewal reminders. Run routine data reports as requested. Track KPIs and maintain internal logs. Assist in maintaining data accuracy and integrity within TAG’s CRM and database systems. Finance & Accounting Support Conduct weekly accounting reconciliation in collaboration with TAG’s accounting firm. Ensure TAG’s internal records match accounting firm reports. Assist with reconciling, collecting, organizing, and submitting financial documentation needed for AP/AR processing. Maintain accurate filing of receipts, invoices, and payment confirmations. Event Administration & Logistics Coordinate event assets including name badges, signage, poster boards, printed materials, and other event supplies. Order event‑related materials and supplies as directed. Assist with registration, attendee lists, guest management, and event check‑in. Coordinate vendor orders and event‑related logistics. Support event materials, printing, and on‑site setup. Assist with event breakdown and post‑event administrative follow‑up tasks. Ensure event details and logistics are executed with a high level of accuracy and professionalism. Qualifications Exceptional organizational skills with strong attention to detail, reliability and follow‑through. Ability to manage multiple priorities while maintaining accuracy and meeting deadlines. Professional communication and customer service skills. Comfort with CRM systems, Microsoft Office, Google Workspace, and virtual meeting platforms. Knowledge of Canva is a plus. Ability to work independently while supporting a collaborative team environment. Strong problem‑solving skills and a proactive approach to work. Takes pride in producing high‑quality work and ensuring details are not overlooked. This position is expected to work primarily in‑office during the first 90 days to support onboarding, training, and integration with the TAG team. Following a successful 90‑day performance evaluation, a hybrid work arrangement may be considered based on performance, organizational needs, and supervisor approval. The regular schedule is approximately 15–20 hours per week. Due to the event‑driven nature of TAG's work, hours may increase up to 40 hours per week during major events, membership campaigns, Board functions, special projects and other organizational priorities. Schedule flexibility and a willingness to support organizational priorities during peak periods are essential components of this role.
