Front Desk & Insurance Coordinator

Blooming Smiles Pediatric Dentistry | Charlotte, NC

Blooming Smiles Pediatric Dentistry is seeking a friendly, organized, and dependable Front Desk & Insurance Coordinator to join our growing team. This position is ideal for someone who enjoys helping families, communicates confidently and professionally, and is comfortable navigating dental insurance matters.

Because we serve a diverse patient population, bilingual English/Spanish candidates are highly desired.

Position Overview

The Front Desk & Insurance Coordinator serves as one of the first points of contact for our patients and families and plays an important role in creating a welcoming, organized, and efficient patient experience.

In addition to traditional front-office responsibilities, this team member must be comfortable contacting insurance companies directly , verifying patient benefits, researching coverage questions, following up on outstanding claims and helping patients understand their insurance benefits and financial responsibilities.

Key Responsibilities

• Welcome patients and families warmly and professionally
• Answer incoming phone calls, respond to patient questions and direct calls appropriately
• Schedule and confirm patient appointments
• Check patients in and out efficiently and accurately
• Maintain accurate patient demographic and insurance information
• Verify dental insurance eligibility and benefits
• Contact insurance companies by phone and through online portals to obtain benefit and claim information
• Follow up on outstanding, delayed or denied insurance claims
• Research insurance coverage questions and communicate findings to the appropriate team member or patient
• Assist with insurance pre-authorizations and supporting documentation when needed
• Communicate estimated patient financial responsibility clearly and professionally
• Collect patient payments and maintain accurate account information
• Assist patients with completing necessary forms and documentation
• Coordinate scheduling and communication for specialty or surgical care when applicable
• Maintain patient confidentiality and follow HIPAA requirements
• Communicate effectively with clinical team members regarding patient needs and scheduling
• Help maintain an organized, positive and professional front-office environment

Qualifications

• Strong verbal and written communication skills
• Professional and friendly telephone presence
• Comfortable making outbound calls to insurance companies and advocating for necessary information
• Strong organizational skills and attention to detail
• Ability to manage multiple responsibilities in a busy clinical environment
• Comfortable learning and working with dental practice management software, insurance portals and other technology
• Dependable, punctual and able to work collaboratively as part of a team
• Strong customer-service mindset and ability to communicate with parents and caregivers compassionately and professionally

Highly Preferred

• Bilingual in English and Spanish
• Previous dental, medical or healthcare front-office experience
• Experience with dental insurance verification, claims or patient accounts
• Familiarity with dental terminology and insurance benefits
• Experience working in a pediatric healthcare environment
