Payroll Administrator

Position Overview We are seeking an experienced Payroll Administrator to manage accurate and timely payroll processing for a unionized workforce. This role will be responsible for the full payroll cycle, including employee timekeeping, union deductions, fringe-benefit calculations, payroll taxes, reporting, and compliance with collective bargaining agreements. The ideal candidate will have between three and ten years of payroll experience and a strong understanding of union payroll requirements. This individual must be detail-oriented, comfortable working with complex pay structures, and able to resolve payroll issues quickly and professionally. Key Responsibilities Process weekly, biweekly, or multi-state payroll accurately and on schedule. Review employee timecards, pay rates, overtime, shift differentials, bonuses, deductions, reimbursements, and other payroll-related information. Calculate and administer union wages, dues, assessments, pension contributions, and other required deductions. Calculate, track, and report fringe benefits in accordance with collective bargaining agreements, prevailing-wage requirements, and company policies. Interpret and apply payroll provisions contained in collective bargaining agreements. Maintain accurate employee payroll records, tax elections, direct-deposit information, deductions, and benefit elections. Reconcile payroll registers, general ledger entries, benefit deductions, union contributions, and payroll-related accounts. Prepare and submit union reports, benefit-fund reports, certified payroll reports, and other required documentation. Partner with Human Resources, Finance, Operations, and field leadership to resolve timekeeping and payroll discrepancies. Respond to employee questions regarding pay, deductions, taxes, benefits, and union contributions. Process employee changes, including new hires, terminations, wage increases, transfers, garnishments, and leave-related adjustments. Ensure compliance with federal, state, and local payroll laws, wage‑and‑hour regulations, union agreements, and prevailing‑wage requirements. Support payroll tax filings, quarterly reconciliations, year‑end processing, W-2 preparation, and payroll audits. Identify opportunities to improve payroll procedures, strengthen controls, and streamline administrative workflows. Maintain confidentiality and protect sensitive employee and payroll information. Required Qualifications Three to ten years of payroll administration or payroll-processing experience. Direct experience processing payroll for a unionized workforce is required. Strong knowledge of fringe-benefit calculations, reporting, and reconciliation is required. Experience interpreting payroll requirements within collective bargaining agreements. Understanding of union deductions, pension contributions, benefit funds, and related reporting requirements. Strong knowledge of payroll taxes, wage‑and‑hour laws, overtime calculations, and payroll compliance. Experience reconciling payroll data and identifying discrepancies. Strong attention to detail, organization, problem‑solving, and time‑management skills. Ability to manage confidential information with professionalism and discretion. Proficiency with Microsoft Excel and payroll or HRIS platforms. Preferred Qualifications Experience processing payroll for construction, infrastructure, manufacturing, skilled‑trades, field‑service, or other blue‑collar employees. Knowledge of prevailing‑wage and certified‑payroll requirements. Experience with multi‑state or multi‑location payroll. Experience supporting payroll audits and year‑end processing. Familiarity with ERP, timekeeping, payroll, and benefits‑administration systems. Fundamental Payroll Certification or Certified Payroll Professional designation.
