Job Summary:

We are seeking a detail-oriented Associate Project Manager to support cross-functional project execution through contract administration, intellectual property and legal document coordination, purchase order management, vendor management, and deliverable tracking. The successful candidate will be responsible for coordinating the execution of contracts, consulting agreements, patent assignments, and other legal documents; facilitating communication among internal and external stakeholders; and ensuring documents are executed, processed, filed, and maintained accurately. The Associate Project Manager will develop and maintain project trackers in Smartsheet, monitor timelines and deliverables, support procurement activities, and help ensure projects remain on schedule, within budget, and compliant with company and partner requirements.

Responsibilities:

• Coordinate execution of contracts, non-disclosure agreements, statements of work, consulting agreements, and amendments.
• Maintain contract records within Contracts+ system.
• Partner with Legal, Finance, and project teams to support contract processing.
• Coordinate, facilitate, and communicate patent assignment and intellectual property signature workflows among internal employees, external individuals, inventors, legal counsel, and partners, both onsite and remotely.
• Manage execution of patent assignment, inventor declaration, confidentiality, and other legal documents, ensuring signatures are obtained accurately and in a timely manner.
• Ensure documents are signed correctly, scanned, distributed, mailed, and filed appropriately within Recludix and with external partners and law firms.
• Maintain organized records of executed patent and legal documents and track outstanding signatures, approvals, and filing requirements.
• Create and process purchase requisitions and purchase orders.
• Track PO approvals, amendments, invoice reconciliation, and PO balances.
• Develop and maintain Smartsheet project trackers for timelines, milestones, deliverables, action items, and budgets.
• Follow up with internal stakeholders and vendors to ensure timely completion of deliverables.
• Prepare project status timelines for project teams.
• Support project meetings by documenting action items, decisions, and next steps.
• Maintain project documentation and identify opportunities to improve project tracking and operational processes.

Qualifications:

• Bachelor's degree in Business, Life Sciences, Project Management, or related field.
• 1-3 years of experience in project coordination, project management, procurement, operations, contract administration, or a related role.
• Experience in biotechnology, pharmaceutical, or life sciences industries preferred.
• Experience coordinating execution of legal, intellectual property, patent, or other confidential business documents.
• Strong attention to detail and ability to manage sensitive and confidential information with a high degree of accuracy.
• Excellent communication and stakeholder management skills, with the ability to coordinate activities across internal teams, external partners, consultants, and legal counsel.
• Strong organizational and time-management skills with excellent attention to detail.
• Experience coordinating contracts, purchase orders, invoices, and vendor documentation.
• Ability to create and maintain project plans, trackers, and dashboards in Smartsheet.
• Proficiency with Microsoft Excel and Microsoft 365 applications.
• Strong written and verbal communication skills with the ability to work effectively across departments and with external partners.
• Ability to manage multiple projects and competing priorities in a fast-paced environment.
• Proactive follow-up, stakeholder management, and problem-solving abilities.
• Collaborative, team-oriented approach.
• Experience working with CROs, consultants, or external vendors preferred.
• Familiarity with procurement and contract management processes preferred.

Further Information:

The anticipated salary range for this role is: $110,000 - $130,000. Actual compensation will be determined based on factors such as experience, qualifications, and skills.
