School Office Clerk

Reports To: Assistant Principal(s)/Principal Employment Status: Regular, full-time - 213 day contract Pay Grade 30 FLSA Status: Non-Exempt Position Summary: Provide clerical, office management and student/staff support services to the school. Essential Functions: Screen telephone calls for the Assistant Principal, including messages from voice mail. Schedule appointments for the Assistant Principal as directed. Locate students as requested by the Assistant Principal, and supervise them while they are in the office area. Investigate the whereabouts of students suspected of truancy or cutting classes; follow-up with the appropriate telephone calls and reports. Track student suspensions, including telephoning parents and reporting to the attendance office. Arrange for students to attend central detention. Manage the high school's reward program (Renaissance) by determining eligibility, making and distributing cards and tracking. Perform the clerical functions associated with intervention and disciplinary programs, such as proficiency tutoring and the "F- attendance policy". Obtain assignments for students who are out of school or placed in a disciplinary program. Type or prepare documents for distribution or filing; for example, newsletters and discipline forms. Collect fees for such things as workbooks and parking passes. Sort materials and distribute them to students; for example, grade cards, progress reports, pictures, yearbooks, test results. Dispense medications to students according to district policies and procedures; assist with monitoring students in the clinic. Supervise the student lunch room, daily. Complete year-end tasks as assigned; for example, organize teachers' grade books and manuals, store student attendance records, remove textbooks from lockers, organize the storage room. Perform any secretarial or aide duties needed when school is not in session; for example, answering telephones, handling mail, issuing work permits, copying records. Assist with preparation for a new school year by performing such tasks as ordering and distributing supplies, typing manuals, distributing student schedules and receiving student fees. Maintain the confidentiality of information that is not public domain. Other Duties and Responsibilities: Assist with arena scheduling. Assist the building aides, the receptionist, and the other secretaries as needed; for example, answering the telephone, preparing bulk mailings. Participate in professional development activities as assigned. Maintain an appropriate personal appearance and a neat, organized office environment. Observe all safety and health regulations of the school district. Serve as a role model in the practice of ethical principles, responsible behavior and democratic values. Perform other duties as assigned by the Assistant Principal, the Principal or the Dean of Students. Qualifications: High School diploma. Post high school education preferred. Alternate to these qualifications as the Superintendent and/or Board of Education may find appropriate. Required Knowledge, Skills and Abilities: Well-developed typing skills. Well-developed oral and written communication skills. Competence with computers and office machines, and willingness to continuously upgrade those skills. Ability to work cooperatively with all staff and to interact with staff, students and the public in a positive manner. Ability to remain calm in the presence of angry or distraught people. Ability to adapt to change quickly and to accept new and challenging tasks as they arise. Willingness to become trained in first aid. Ability to be bonded. Equipment Operated: Computer/printer. Fax machine. Copier. Laminator. Various other office machines, educational equipment and tools. Public address system. Working Conditions: Some interaction with unruly teenagers. Some interaction with angry or distraught adults. Repetitive hand motions (typing/computer). Potential exposure to blood or other body fluids and tissue. Occasional operation of a vehicle in inclement weather. Regular requirement to sit, stand, walk, talk, hear, see, read, reach with hands and arms, stoop, crouch, and kneel. Occasional requirement to lift, carry, push and pull various items; for example, books and supplies, up to 25 lbs.
