Special Projects Coordinator - Human Resources

HOURS: Up to 32 hours per week. This position does not include benefits. Under general supervision, this position provides front counter and administrative support within the Human Resources Department. Act as a backup to the HR Office Coordinator, maintain calendars and coordinate appointments for Human Resources Management Staff. Schedule meetings, training, and departmental events, respond to general HR emails, and welcome visitors. Perform verbal employment verifications as needed. Prepare correspondence, reports, forms, spreadsheets, perform data entry, document preparation, and general administrative support. Assists with preparation for interviews and HR training, arranging meeting logistics, maintaining office supplies and coordinating purchasing requests. Scan, file, and archive personnel records using electronic document management systems. Assist with record requests while ensuring compliance with confidentiality requirements and applicable laws. Provide backup coverage for the front desk, including but not limited to: answering calls, assisting walk-ins, handling HR emails, and sorting/distributing mail. Maintain and update confidential personnel files in accordance with record retention requirements as assigned. Assist with departmental projects, including data entry, reporting, and maintaining the compensation database in BS&A and NEOGOV. Support HR sponsored events (wellness and career fairs, training, employee recognition, etc.) Maintain a high level of confidentiality when handling personnel information. Perform other related duties as assigned. Minimum Qualifications Education: High school diploma or GED required. Preferred Qualifications Associate’s Degree (Business Administration, Human Resources, Office Administration, or a related field, preferred) Prior experience in a Human Resources or municipal office Experience with Human Resources Information Systems (HRIS), BS&A and NEOGOV.
