Billing Clerk

ESSENTIAL FUNCTIONS:

• Bills new and used vehicle deals and posts transactions accurately to the accounting system
• Verifies that all required funds are in-house before billing is completed
• Reviews financial documents provided by Finance to ensure completeness and compliance with dealership policies and applicable state regulations
• Processes trade-in payoffs accurately and in a timely manner
• Records vehicle sales, gross profit, and all applicable payables and maintains the associated accounting schedules
• Coordinates closely with Finance Managers, other Billing Clerks, and Title Clerks to maintain a smooth and timely flow of deals through the office
• Prioritizes billing, schedule maintenance, and follow-up responsibilities to meet established accounting deadlines, including month-end closeout requirements
• Performs other duties as assigned by accounting management

MINIMUM QUALIFICATIONS/SKILLS:

• Previous Billing Clerk experience required
• Self-motivated with the ability to effectively prioritize tasks and organize workload and schedule
• Computer literate with accurate typing and 10-key skills
• Strong attention to detail and commitment to accuracy
• Basic working knowledge of accounting principles with strong interpersonal, verbal, and written communication skills
• Must be available and present during month-end closeout as required

SUPERVISORY RESPONSIBILITIES:

This role has no supervisory responsibilities

WORK ENVIRONMENT:

This job operates primarily in a dealership accounting office environment. The role routinely uses standard office equipment such as computers, phones, printers, scanners, and 10-key/calculator equipment and requires frequent coordination with Finance, Title, and other accounting personnel.

PHYSICAL DEMANDS:

• Requires prolonged periods of sitting and working at a computer or workstation
• Requires frequent typing and use of a keyboard, 10-key/calculator, scanner, phone, and other standard office equipment
• Requires the ability to communicate effectively in person, by phone, and electronically
• Requires visual acuity and manual dexterity sufficient to review documents and perform accurate data entry
