Office Operations Manager

Primary Services is excited to announce the role of Office Operations Manager for a large wealth management firm. This position supports senior leadership, including direct assistance to the CEO, while overseeing daily office operations and contributing to marketing, compliance, and client engagement efforts. We're looking for a highly organized professional who can manage competing priorities in a fast-paced, high-standard environment while maintaining discretion and precision. Responsibilities Oversee daily office operations, including supplies, vendor coordination, and facility management. Serve as primary liaison with building management and external service providers. Manage executive calendar, scheduling priorities, email organization, and travel coordination. Prepare materials, agendas, and follow-ups for leadership meetings and planning sessions. Coordinate client events, internal meetings, team offsites, and appreciation programs. Support marketing initiatives including newsletters, email campaigns, and digital content updates. Assist in tracking marketing performance metrics and maintaining compliance documentation. Maintain CRM records, update client information, and support executive follow-through tasks. Monitor administrative and compliance logs, including gifts, communications, and filings. Coordinate vendor relationships, invoices, subscriptions, and administrative budgets. Track employee schedules and support payroll-related administrative processes. Qualifications 3–5 years of experience in office management, executive support, or administrative coordination. Experience in financial services or wealth management environments preferred. Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint. Experience with CRM platforms and scheduling tools. Familiarity with marketing tools, email campaign platforms, and basic analytics reporting. Ability to manage compliance-related documentation and maintain organized records. Experience coordinating travel logistics and executive-level scheduling. Strong proficiency in managing multiple digital systems and workflow platforms.
