Facility Administrative Assistant

About the role Reporting to the Facility Manager, the Facility Administrative Assistant will provide vital support to the management team, Human Resources, and day‑to‑day operations. This multifaceted role demands self‑drive, organization, and proficiency in Microsoft Office. Responsibilities Handle HR administrative tasks including recruiting assistance, interview coordination, new hire onboarding, training updates, and benefit updates. Provide confidential assistance with employee issues when requested. Communicate corporate, regional, and facility announcements and programs. Act as liaison for IT and telephone issues, communicating with corporate IT and assisting office personnel. Serve as liaison for Dimensions/timekeeping assistance and resolve related issues. Collaborate with Payroll for job status change processing and maintain recordkeeping of changes. Coordinate and communicate meetings and events such as tours, training, luncheons, and company parties; adjust schedule to support these events when necessary. Prepare and update Excel spreadsheets, PowerPoint presentations, and reports for management covering operations, safety, and environmental topics, and assist with special projects. Maintain facility documents and off‑site storage in accordance with the document retention policy. Support community relations and other projects. Assist the Facility Safety Coordinator in managing safety documents and databases, providing updates on safety programs, administering the Medical Surveillance program, and tracking safety training. Perform basic accounting and purchasing duties (accounts receivable, data entry). Support the Facility Manager and other management staff as needed. Provide general administrative assistance including ordering supplies, sending and distributing mail/UPS/packages, organizing meeting requests, arranging travel, managing schedules, and assisting employees with travel and expense reimbursements. Qualifications GED or high school diploma. Advanced knowledge of MS Excel, PowerPoint, and Outlook. At least five years of experience in executive or office administration. Experience with accounting functions or in a related area (preferred). Excellent time‑management skills with the ability to multi‑task and prioritize work. Physical Demands While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard. The range below reflects a reasonable estimate of base pay for this role based on primary posting location. The final salary offered will be determined based on factors including, but not limited to, experience, education, geographic location, skills and competencies, travel requirements, and union contracts.
