Medical Administrative Assistant

Medical/Therapy Scheduler

Convivio Health, a leading provider of comprehensive, objective work-related rehabilitation and evaluation services in Washington State since 2007, is seeking an experienced medical/therapy scheduler to join our CARF-accredited multidisciplinary clinic.

What You Will Do:

• Coordinate patient schedules with providers, interpreters, and patients.
• Schedule appointments across multiple disciplines within our Occupational Rehabilitation Program (ORP).
• Manage incoming calls, emails, and text messages related to scheduling.
• Adjust complex, multi-provider schedules as needed.
• Provide back-up support to reception as needed.
• Maintain a consistently professional and welcoming presence for the clinic.
• Verify insurance eligibility prior to scheduling appointments.
• Perform other administrative duties as assigned.

Qualifications:

• Pleasant and professional telephone demeanor, even under pressure.
• Strong customer service orientation—courteous, respectful, and responsive.
• Clear and professional communicator (verbal and written) with providers, patients, interpreters, and stakeholders.
• Proficient in Microsoft Outlook, Word, and Excel.
• Experience with Electronic Medical Records (EMR) and scheduling systems preferred.
• Knowledge of medical terminology.
• Highly organized with strong attention to detail and accuracy.
• Ability to multitask, prioritize effectively, and meet deadlines.
• Familiarity with HIPAA regulations and proper record-keeping practices.
• Positive, team-oriented attitude; dependable and punctual.
• Comfortable working in a fast-paced, evolving environment.
• Open to feedback and adaptable to change.
• High school diploma or GED required; AA in a health-related field preferred.
• Bilingual in English and Spanish required.

Work Experience:

• Minimum 2 years of clerical or customer service experience in a hospital or clinical setting is required.

This position involves consistent, proactive communication to schedule and reschedule client appointments while ensuring coordination between clients, therapists, physicians, insurance representatives, and other healthcare providers.
