Billing & Invoicing Specialist

We are seeking a detail-oriented and organized Billing & Invoicing Specialist to support daily billing operations, invoice processing, data entry, and general administrative functions. This role is responsible for preparing and distributing invoices, maintaining accurate shipping and billing information, generating financial reports, and providing cross-functional support to various departments.

The ideal candidate is dependable, highly organized, and comfortable managing multiple responsibilities in a deadline-driven environment. Previous experience in billing, accounting support, or the transportation and logistics industry is a plus.

Key Responsibilities

Billing & Invoicing Operations

• Print, process, post, and distribute freight invoices on a daily basis.
• Prepare and process invoices for warehousing and related services.
• Review, prepare, scan, and organize invoices for specialized service operations.
• Monitor monthly billing reports and coordinate with internal auditing personnel to identify and resolve unbilled items.
• Provide backup support for invoice mailing and distribution as needed.

Data Management & Reporting

• Enter and maintain shipping location codes and related information within the transportation management system.
• Generate and distribute daily billing and revenue reports to the Finance Department.
• Prepare weekly commission reports and submit supporting documentation to Accounts Payable.
• Maintain accurate billing records and ensure information is entered and processed in a timely manner.

Administrative & Cross-Functional Support

• Receive, open, and distribute incoming packages and billing-related mail to the appropriate departments.
• Provide reception coverage during scheduled lunch periods and breaks.
• Assist with document imaging, scanning, and electronic recordkeeping as needed.
• Support other administrative functions and special projects as assigned.

Qualifications

• High school diploma or equivalent required.
• Proficiency in general office functions, including data entry, word processing, spreadsheets, filing, and basic calculations.
• Strong attention to detail and accuracy.
• Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
• Effective verbal and written communication skills.
• Previous experience in billing, invoicing, accounting support, or administrative roles preferred.
• Experience in the trucking, transportation, or logistics industry is a plus.
• Familiarity with transportation management systems (TMS) preferred.

Pay Rate: $24/hr-$25/hr
