Executive Administrative Assistant, Senior (PMA 271)Provide high-level administrative support to the leadership team of a prominent Program Management Office. As a Senior level EA, conduct research, prepare statistical reports, handle information requests, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Regularly interact with senior leadership within the PMA, external stakeholders, and OEM's. The EA works in a fast-paced office environment that demands attention to detail, professionalism, and leadership, with the ability to be the face of the organization. The EA will be a member of the Operations Team and support the smooth operation of the Program Management Office.As an Executive Administrative Assistant, you are responsible for providing front office support coordinating with senior management. Provide executive administrative support to the Program Manager (PM) and senior staff of the PMA. The position would be responsible directly to the PM and be a member of the Operations Staff ensuring the execution of administrative tasks are performed at the highest level in a timely manner.Specific tasks include:Format and track correspondencesManage long range schedules and operations schedules for leadership teamProcess FITREPS in NAVFIT for submissionProcess travel authorizations and vouchers via Defense Travel Systems (DTS) for leadership teamApprove Conference room requests for program office. Assist setting-up classified VTCsDevelop and update PowerPoint presentationsUse MS Office tools, MS Teams and SharePoint sites to control and manage dataApply business rules and processes to gather, assess, and report dataAssist and confirm Visit Requests and Security Clearance in Defense Information Systems for Security (DISS)Support Onboarding/Off-boarding processesMaintain Dashboard & Drumbeat TrackingPerform security checks to ensure all security containers are locked and properly denoted on the SF700 logsAssist in on boarding/off boarding tasks for new/departing team membersMaintain and update Program Manager notebook and Read Ahead BinderAttend Operations meetingsRequired Experience: 10 years of combined experience performing duties described in the functional description. At least one year of NAVAIR experience, preferably with a PMA, performing duties described in the functional description.Desired Experience: Experience using the Defense Travel System, security systems for clearance verification, MS Teams and SharePoint, and the MS Office Suite.Education Requirements: HS degree or equivalent.
