Position summary: The Nurse Coordinator primarily focuses on supporting clinical communication and coordination between patients and clinical teams while coordinating, overseeing, and optimizing scheduling across multiple sites. This role collaborates with practice physicians, APPs, perioperative leadership, surgeons, anesthesia, and administrative staff to ensure efficient use of operating room resources, reduce scheduling conflicts, and improve patient throughput. This includes patient screening and clinical intake, coordinating testing and results, appointment scheduling, responding to patient questions, and ensuring timely, clear responses throughout care episodes. The Nurse Coordinator helps with block schedule management, data reporting, and communicating surgical scheduling policies and changes. Responsibilities and qualifications below describe what the role does and needs to perform effectively. Job Responsibilities Partner with practice clinicians and staff to ensure high-quality patient communication and consistent patient satisfaction Other duties as assigned Act as a professional role model to all staff by considering the needs and behaviors of patients in a culturally competent manner and applying expertise, critical thinking, and related experience in care of patients and families Assist with orienting and training team members (new hires/interdepartmental initiatives) as requested Provide for educational needs of self, patients, and administrative staff. Participate in development and upgrading of patient/family education materials and programs relevant to expertise and practice Participate in quality improvement programs and activities that promote satisfaction of patients, families/caregivers, physicians, and staff Acquire and maintain current clinical knowledge and competence to fulfill responsibilities Interact with clinical and administrative roles including practice staff, physicians, clinicians outside the practice or NYU, health plans, etc Adhere to department and FGP policies and procedures Use and document in the Epic electronic medical record regarding communication and care coordination activities; organize and present pertinent data in a meaningful way for physicians Participate in coordination of practice activities to provide patient care in a healing, humane environment Surgery related key responsibilities: Block Schedule Management Block Schedule Management Partner with all surgical divisions to support a centralized scheduling model aligned with perioperative central scheduling goals Maintain and coordinate the master OR block schedule, including allocation, reallocation, and release of block time across sites (e.g., Main Campus, Cobble Hill) Assess case types to determine appropriate site placement based on clinical criteria, resources, and ambulatory eligibility to maximize scheduling efficiency Allocate OR time to surgical departments and individual surgeons based on utilization, case volume, and priorities Monitor block utilization and identify opportunities for improvement or reallocation Backfill unused OR time to maximize utilization by coordinating with all divisions Daily surveillance of Epic Snap board Periop OR schedules to identify gaps, conflicts, and opportunities Monitor case lead times and work with providers and schedulers to ensure timely OR bookings and reduced patient wait times Serve as a liaison between divisional leadership, OR Central Scheduling Nurse Manager, providers, perioperative leadership, anesthesia, and staff Facilitate communication regarding schedule changes, open time, and urgent/emergent case needs Coordinate with physician practices to support accurate case entry and scheduling; provide re-education as needed Coordinate efforts to expedite surgical scheduling by facilitating preoperative clearances, insurance authorizations, and timely case entry Participate in OR governance or utilization committees Onboard new surgeons to identify appropriate OR block time prior to start date Establish and reinforce clear and standardized expectations and communication with patients in the preoperative phase Data and Reporting Analyze OR utilization data, including robotic utilization and case volumes, to support decision-making Generate reports on block usage, out-of-block utilization, cancellations, delays, and efficiency metrics Recommend scheduling adjustments based on trends and performance indicators Provide insights and recommendations to leadership based on utilization and capacity trends Policy & Compliance Ensure scheduling practices comply with hospital policies, accreditation standards, and patient safety protocols Support initiatives to reduce surgical delays and improve patient throughput Clinical Insight Apply clinical knowledge to assess the complexity and resource needs of surgical cases Collaborate with perioperative teams to ensure readiness and appropriate case sequencing Assess case types to maximize scheduling efficiency under providers block sessions Minimum Qualifications Licensure as a Professional Registered Nurse in NYS with current registration. BSN or graduate of an accredited RN program with a Bachelor's degree in a related health care field. Relevant clinical experience in ambulatory care, managed care, or acute medical-surgical care for the targeted population. Membership in pertinent professional organization preferred. Fluent written and spoken English. Strong interpersonal communication, customer service, negotiation, conflict management, problem-solving, clinical leadership, change management, work process organization and time management. Ability to think critically and collaborate with co-workers, physicians, nursing, and support staff. Proficiency with Microsoft Office and with an electronic medical record such as Epic or care/case management systems. Required Licenses: Registered Nurse License-NYS Preferred Qualifications Two or more years in ambulatory, health plan, or home health/ambulatory care management. Membership in care/case management or related professional organization. Certification in Case Management (ABQAURP) or Certified Professional Healthcare Quality (CPHQ). Epic proficiency. MSN or related field. Experience in perioperative nursing or surgical services. Qualified candidates must be able to effectively communicate with all levels of the organization.
