Executive Assistant to Leadership Team

Beemac Logistics is looking for a sharp, resourceful Executive Assistant to support our leadership team. This is not a one desk, one boss role. You will work directly with the entire leadership team, manage a wide range of business and personal priorities, and take ownership of special projects that go well beyond a typical assistant job. This is a high trust, high exposure position. You will be handling confidential company and personal information, coordinating travel, and managing money matters on behalf of the leadership team, so successful candidates must pass a background screening and credit check.

What You'll Do

• Serve as the primary point of contact and right hand to the leadership team, anticipating needs before they're asked.
• Manage complex calendars, scheduling, and meeting logistics across multiple leaders and priorities.
• Coordinate all personal and business travel for the leadership team and select employees, including flights, lodging, and itineraries.
• Own expense reports, credit card reconciliations, and other day-to-day financial administration for the leadership team.
• Take the lead on special projects, including initiatives tied to the leadership team's outside business ventures, such as an athletic facility they support.
• Draft and proofread correspondence, presentations, and internal communications.
• Handle sensitive company and personal information with discretion and sound judgment.
• Coordinate with vendors, partners, and outside contacts on behalf of the leadership team.
• Juggle shifting priorities and deadlines without dropping the details.

What We're Looking For

• Previous experience of being an executive assistant, personal assistant, or similar support role preferred.
• A college degree is preferred.
• Excellent organizational skills and the ability to manage multiple priorities and deadlines at once.
• Strong attention to detail, especially when handling financial and confidential matters.
• A proactive, self-starter mindset with the drive to take on new projects and figure things out.
• Strong written and verbal communication skills.
• Comfortable working with technology including Office products, expense and travel platforms, and other business software.
• Trustworthy and discreet, with the ability to handle sensitive information appropriately.
• Must pass a background screening and credit check.

Schedule


Monday through Friday, 8:00 AM to 5:00 PM EST. We offer flexibility to work from home when circumstances call for it.
