ABOUT THE ROLE
The Office HR Coordinator is a vital member of our Operations team, working closely with the Firm Administrator and firm leadership to keep the business running smoothly. This role owns our office operations, recruiting and onboarding processes, HR administration, and provides direct support to managers and the leadership team across both locations.

A DAY IN THE LIFE
In this role, you will:
Keep the office running
- Manage daily office functions, including supply ordering, vendor coordination, and facility or IT needs.
- Maintain organized systems for records, documents, and internal communications.
- Coordinate internal meetings, trainings, and team events.
- Ensure both offices reflect a professional and efficient work environment.
Own HR and recruiting
- Post open positions, screen candidates, schedule interviews, and communicate with applicants — targeting 3–5 screening interviews per week.
- Partner with the Firm Administrator and team leads to manage hiring and keep job descriptions current.
- Execute comprehensive onboarding and offboarding, ensuring 100% of tasks are completed on time.
- Maintain accurate and compliant personnel files and HR records (95%+ accuracy standard).
- Support benefits administration, PTO tracking, and timekeeping updates.
- Track training deadlines and ensure compliance with firm and external requirements.
Support leadership and drive improvement
- Provide administrative support to the Firm Administrator and firm managers, including scheduling, coordination, and special projects.
- Assist with internal communications, team engagement, and culture initiatives.
- Help build and maintain training modules, the firm portal, internal workflows, and operational systems.
- Identify and implement process improvements across the office and HR functions.
ABOUT YOU
You are the right fit if you bring:
- 5+ years of experience in office coordination, HR support, or recruiting — professional services experience strongly preferred.
- Working knowledge of HR processes, recruiting workflows, and onboarding/offboarding procedures.
- Hands-on experience with IT systems: training module development, intranet/portal management, workflow tools, and related technologies.
- Proficiency in Microsoft Office Suite; experience with HR systems, ATS platforms, or legal software is a plus.
- Exceptional attention to detail and the ability to manage competing priorities without missing a beat.
- Strong interpersonal and communication skills — you are clear, timely, and professional at every level of the organization.
- The ability to handle sensitive and confidential information with absolute discretion.
- Comfort working in a hybrid environment across two office locations.

Responsibilities:Duties
Office Operations
- Support daily office functions, including supply management, vendor coordination, and facility or IT needs

HR & Recruiting Support
- Manage job postings, screen applicants, schedule interviews, and communicate with candidates
- Partner with the Firm Administrator and team leads to support hiring needs and maintain updated job descriptions
- Coordinate onboarding and offboarding processes, ensuring all documentation, equipment, and tasks are completed
- Maintain accurate and compliant personnel files and HR records
- Support benefits administration, PTO tracking, and timekeeping system updates
- Monitor training deadlines and ensure compliance with internal and external requirements
Administrative Support
- Provide administrative support to the Firm Administrator as needed
- Assist with internal communications and team engagement initiatives
- Support culture-building efforts aligned with firm values
- Assist with process improvements and special projects as assigned
Qualifications:
- 5+ years of experience in office coordination, HR support, or recruiting (professional services experience preferred)
- Working knowledge of HR processes, recruiting workflows, and onboarding procedures
- Strong communication and interpersonal skills
- High attention to detail with the ability to manage multiple priorities
- Proficiency in Microsoft Office Suite; experience with HR systems
- Ability to handle confidential information with discretion and professionalism
- Comfortable working in a hybrid environment and managing responsibilities both remotely and in the office
