Human Resources Coordinator

As we continue to expand, our People & Culture team is scaling quickly—and we’re seeking a detail-driven People Operations & Coordinator to support our colleagues, ensure accurate Human Resources data, and partner closely with our Business and clinical teams. Paychex experience is highly preferred, and experience with any HRIS platform is a major plus. Key Responsibilities People & Culture Operations Support managers in recognizing and celebrating colleague milestones. Track and report new hire activity and colleague turnover to Operations Leaders. Conduct 30‑day and 90‑day check‑ins with colleagues. Coordinate distribution of the annual engagement survey. Administer and support core value surveys (CIRCLE). Maintain and update organizational charts. Partner with the People Business Partner to support exit interview practices. Partner with the Talent team as needed to support resume reviews and coordinate hiring efforts. Asset Management Maintain, review, and update inventory records for resources assigned to colleagues, including items such as laptops, access badges, parking permits, and similar assets. Benefits & Leave of Absence (LOA Compliance) Support benefits enrollment; including open enrollment, new hire onboarding, and provide daily benefits guidance to colleagues. Ensure ongoing accuracy of EDI feeds and partner with benefits vendors to resolve discrepancies. Track FMLA/leave requests and manage all related communications and documentation. Collaborate with the People Business Partner on workplace accommodation processes & assist with all related communications, tracking, and documentation. Audit and partner with Financial & Payroll team members on benefit premiums & billing reconciliation. Compliance Support all People Team compliance activities. Manage and maintain People Team documents (Payroll Schedule, Holiday Calendars, Labor Posters, etc.). Support and partner cross‑functionally with subject matter experts for ongoing People Projects. Conduct regular audits and maintenance of colleague files to ensure accuracy and compliance. Manage employment verifications, unemployment claims responses, and worker’s comp claim submissions. Oversee compliance tasks, including mandatory trainings, policy acknowledgments, reporting deadlines, and regulatory updates. Willingness to assist with other projects and duties as needed. What You’ll Bring 1 – 3+ years of experience in HR, People Operations, Benefits, or a related role. Associates degree or higher Strong preference for candidates with Paychex experience (Flex, Time, or Managed Services). Experience with any HRIS platform (Workday, Paychex, ADP, Paylocity, BambooHR, etc.). Working knowledge of benefits administration, leave management, employment laws, and HR compliance. High attention to detail, strong follow-through, and the ability to maintain confidentiality. A service-oriented mindset and comfort supporting a distributed workforce. A desire to learn, grow, and develop a high deliverable People Team function. Compensation & Benefits Salary: The annual base salary range for this position is $50,000 - $60,000 USD . Annual base salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and or licensures. The range displayed on each job posting reflects the minimum and maximum target salaries for the position across all US locations Location: Hybrid – Lisle, IL. 2+ days a week in office ideal.
