Administrative Assistant to Special Education/Registrar
$26.89 - $27.43 per hourDEWITT PUBLIC SCHOOLS
Position Summary The Administrative Assistant to the Director of Special Education and Special Services and Central Office Receptionist/Registrar serves as a key communication and operational support resource for families, staff, and community members while maintaining confidential student and district records. Responsibilities include supporting Special Education and Special Services functions, coordinating district enrollment and registration processes, maintaining student information systems and state reporting data, and ensuring efficient daily operations of the office. This position requires exceptional judgment, professionalism, confidentiality, customer service skills, and the ability to manage multiple priorities in a fast-paced environment. Reports to Director of Special Education and Special Services Qualifications/Requirements
• High School diploma or general education degree required. Associate degree or higher preferred.
• Notary Public certification required, or willingness and ability to obtain upon hire.
• Two (2) or more years of advanced secretarial or executive administrative experience with significant public-facing responsibilities.
• Experience in a public school district office strongly preferred.
• Knowledge of special education regulations and pupil accounting rules preferred.
• Completion of a skills assessment may be required as part of the selection process. Knowledge, Skills and Abilities
• Strong interpersonal skills and the ability to interact effectively with staff, students, parents and community members in a courteous and professional manner.
• Proficiency with Google Workspace and Microsoft Office Suite, Adobe Acrobat, and the ability to learn district-specific software.
• Experience with Infinite Campus,
• Excellent written and verbal communication skills; ability to draft professional correspondence independently.
• Ability to handle sensitive and confidential matters with discretion and sound judgment.
• Highly organized with the ability to manage multiple priorities, meet tight deadlines, and maintain focus amid frequent interruptions.
• Analytical ability to evaluate complex situations, define problems, and determine appropriate courses of action without direct supervisor approval.
• Ability to communicate effectively with both technical and non-technical audiences at all organizational levels.
• Knowledge of state and federal laws and reporting requirements applicable to Michigan public schools, including Special Education compliance and student enrollment requirements.
• Self-motivated, detail-oriented, and committed to continuous professional growth.
• Ability to establish and maintain positive, collaborative working relationships across the organization. Essential Duties and Responsibilities Central Office Receptionist/Registrar Responsibilities
• Serve as the primary receptionist for the Central Office: greeting visitors, answering telephone calls, and directing inquiries appropriately.
• Act as District Registrar by processing enrollment of new students in the Student Information System (Infinite Campus), including collection and verification of required documentation.
• Maintain online registration systems, Parent Portal requests, annual family updates, and district enrollment records.
• Maintain and update district enrollment information and webpage content.
• Collaborate with district administration regarding School of Choice processing and student enrollment matters.
• Assist staff with scheduling office meeting spaces.
• Maintain and purchase office equipment, supplies, and materials and assist with the organization of Central Office.
• Process outgoing district mail, including USPS, FedEx, and UPS shipments.
• Process department credit card expense reports and receipts.
• Support and serve as backup for volunteer ICHAT criminal background checks. Special Education and Student Services Support
• Prepare correspondence, reports, records, and other confidential documents for the Special Education Department.
• Process and maintain databases for referrals, METs, IEPs, caseloads, 30-day placements, Section 504 plans, Homebound/Hospitalized students, and Multilingual Learners.
• Assist with pupil accounting responsibilities including collection, analysis, and verification of student data for state reporting.
• Collaborate extensively with the Technology Department Data Analyst regarding student reporting submissions.
• Support Special Education staff with database usage, district procedures, and compliance timelines.
• Process requests for specialized transportation services.
• Maintain Special Education staff records and required compliance documentation.
• Monitor subscriptions, specialized equipment, and supplies for program providers and students.
• Support School Wellness and other Special Services functions as assigned. General Responsibilities

• Support efficient district operations through collaboration, communication, and problem solving.
• Perform additional duties as assigned by the supervisor. Compensation Per Approved Salary Schedule: $26.89 to $27.43 per hour based on experience, full benefit package Work Schedule Full time, Year-round (52 weeks/year), Monday-Friday 8:00am - 4:30pm; evening meetings as needed FLSA Non-exempt Duties to Begin Anticipated start date in early July 2026; actual date to be determined upon offer of employment Application Deadline Tuesday, June 2, 2026 at 4:00pm or until filled
