Project Assistant (Contract-to-Hire)

Location: Kansas City, MO (Onsite Only No Remote/Hybrid)

Position Overview

We are seeking a highly professional and detail-oriented Project Assistant to support ongoing company projects in a fast-paced environment. This contract-to-hire opportunity is ideal for someone who thrives in an administrative support role, excels at document control, and can manage multiple priorities with precision. The successful candidate will play a key role in maintaining project organization, supporting project teams, and ensuring efficient day-to-day operations.

Key Responsibilities

• Maintain and organize project files and documentation systems
• Manage and monitor project email inboxes
• Perform document control and document management functions (primary initial focus)
• Track project progress and generate monthly reports
• Assist with project specifications, revisions, and final documentation
• Research and respond to project-related inquiries
• Maintain project tracking systems and logs
• Record and distribute meeting minutes from Project Manager meetings
• Prepare memos, reports, correspondence, and other documentation
• Coordinate travel arrangements as needed
• Manage outgoing communications, including emails, mailings, and faxes
• Organize and maintain filing systems (digital and physical)
• Coordinate client/vendor lunches, including setup and cleanup
• Reserve conference rooms and coordinate with internal departments
• Order and maintain office and project supplies
• Arrange equipment setup and maintenance
• Maintain department calendars and team rosters
• Provide occasional administrative support to project managers
• Assist with PowerPoint presentations and other materials
• Utilize Microsoft Access to store and retrieve project data
• Support clerical needs for special projects
• Complete weekly timecards and assist with administrative reporting
• Perform copying, scanning, and general office support tasks
• Take on additional duties as assigned to support team success

Qualifications

• High School Diploma or equivalent required
• Minimum of 5 years of office/clerical experience OR Associate's degree with 4+ years of relevant experience OR Bachelor's degree with 2+ years of relevant experience
• Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook required)
• Experience with Microsoft Access preferred
• Excellent organizational and time management skills
• Strong written and verbal communication abilities
• Ability to manage multiple priorities in a fast-paced environment
• High level of professionalism and attention to detail
• Self-starter with the ability to work independently and as part of a team
