Receptionist
Location: Carteret, NJ
We are looking for a dynamic and outgoing person who will be the first-person employees and visitors see when they come in.
We're looking for someone who can balance multiple tasks/projects each day and is ready to take an active role in ensuring our office is running smoothly.
A successful candidate will have the ability to manage competing priorities, work effectively with employees at all levels of the organization, and recognize the many nuances of the job. We are looking for a candidate that is excited to jump in to help where needed, resolve issues whenever they arise, and establish themselves as a reliable point of contact.
Main Duties:
- Greet and assist visitors.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Managing heavy phone volume.
- Screen all incoming calls
- Scan all necessary paperwork accurately and timely for the office
- Assist in office projects when needed.
- Manage incoming and outgoing mail, ensuring the mail gets delivered timely
- Daily UPS Billing.
- Create company product catalogs, daily, weekly or as needed when requested at the last minute.
- Manage Inventory of catalog material, ensuring we always have adequate supply on hand.
- Manage Office Supply Inventory, ensuring we are not low on stock.
- Reserve conference room for meetings when necessary
- Open and apply Account Receivable checks for AR Dept
- Assist the AR Dept
- Update existing customer accounts to ensure a credit application is on file along with updated references.
- New Customer Accounts- Send references by fax, email and obtain references for the accounts receivable
- Make sure to meet deadlines, and report back status with any project
- All other office task assigned
Required Knowledge, Skills, and Abilities:
- Computer literacy and strong working knowledge of Microsoft Office, including Excel, PowerPoint and Outlook.
- Strong interpersonal skills; Possesses excellent communication skills, both written and verbal.
- Ability to multitask and prioritize as needed.
- Organized and detail oriented.
- Handles confidential material properly and with professionalism.
- Prior experience in a corporate setting desired.
